The Assistant Coordinator of Academic Affairs at Berklee Valencia will provide front-line support to the Academic and Student Affairs office, as well as to the larger Berklee Valencia community, by assisting with and coordinating Academic Affairs administrative and student support tasks for the area. This is a fully in-person position with the expectation of being on campus five (5) days per week.

Responsibilities:

Serve students, faculty, and staff at the front desk of the academic affairs/student affairs/international career center office, answering questions and directing to appropriate resources, as needed

In addition, the Assistant Coordinator will support and collaborate on:

Collecting deposits for day trips and other events

Assisting with check-in and scheduling

Assisting with room reservations

Assisting in preparing weekly reports on part-time faculty hours for payroll

Preparing enrollment certificates

Data follow up relating to student agreements and other relevant Academic Affairs information, including maintaining a student database that includes address and phone numbers, as well as Docusign permissions and supporting academic affairs guest speaker agreements

Administering student locker assignments

Preparing diplomas for Commencement

Preparing completion certificates for non-credit-bearing programs

Supporting accessibility services, including assisting with scheduling and proctoring exams as needed

Processing data entry for Spanish degree students

Supporting administrative tasks relating to summer programs, as needed

Other duties as assigned

Knowledge and Skills Required:

Spanish bachilerato, U.S. high school diploma, or equivalent

Excellent verbal and written communication skills in English (minimum C1)

Spanish language skills (minimum B2)

Experience in administrative operations and customer service.

Demonstrated capacity to support, develop, and maintain effective working relationships with individuals reflecting a broad range of identities, perspectives, and experiences.

High-level proficiency with Google Drive, Excel, Word. Ability to learn other software programs.

Excellent presentation and strong interpersonal skills with necessary discretion to work with confidential information.

Excellent organizational skills with the ability to manage multiple priorities and details.
