Job Overview:
The Human Resources (HR) Specialist plays a key role in ensuring the smooth and efficient delivery of HR operational services, with a focus on employee benefits administration, payroll coordination, data management, HRIS, and general HR support. This role supports the day-to-day HR processes and ensures compliance with statutory requirements while providing excellent service and support to employees and external partners.
Responsibilities:
Benefits Administration
Manage and process employee enrollments, changes, and terminations for HMO, life insurance, and other company benefits.
Partner with onboarding and offboarding teams to ensure timely and accurate employee coverage updates.
Serve as the primary point of contact (POC) for all company benefits-related inquiries and concerns.
Coordinate with benefits vendors on schedules for annual physical exams and executive check ups, employee orientations, and other wellness programs.
Review, validate, and endorse vendor billing statements and supporting documents to Finance for payment processing.
Track and maintain benefits data, utilization, and cost reports, ensuring accuracy and compliance.
Support in managing contents and updating the company benefits calendar.
Ensure timely communication of benefits-related deadlines and events to employees.
Create and distribute communication materials such as benefits guides, FAQs, and newsletters.
Payroll Coordination and Government Compliance
Prepare and submit bi-monthly employee list report/SPA generation, etc., for government remittances to Payroll and Finance.
Ensure compliance with applicable government regulations (e.g., SSS, PhilHealth, Pag-IBIG).
Collaborate with the Payroll team in preparing reports for government remittances, statutory benefits computations (i.e. maternity benefits, salary loan, etc.).
Ensure consistent compliance with labor laws and statutory reporting requirements.
Assist employees in completing applications for statutory loans, sickness and maternity benefits, etc.
Timekeeping Administration
Monitor and maintain accurate employee attendance, timekeeping, and leave records.
Review timesheets, schedules, overtime, undertime, and attendance discrepancies.
Validate and reconcile timekeeping data before payroll processing.
Coordinate with employees and managers regarding attendance concerns and corrections.
Ensure compliance with company policies and labor regulations related to working hours, leaves, and overtime.
HR Administration and Data Management
Maintain up-to-date employee records and HR databases, ensuring data integrity and confidentiality.
Collaborate with the HRIS and Data Management team in preparing regular and ad-hoc reports on benefits utilization, cost, and other metrics.
Support HR programs such as employee engagement activities, policy dissemination, and internal communication.
Manage the HR calendar for benefits and statutory schedules, ensuring employees are informed of key deadlines.
Conduct regular audits of benefits data and employee records for accuracy and compliance.
Vendor and Stakeholder Management
Assists with external benefits vendors for contract renewals, service reviews, and issue resolution.
Coordinate with benefits vendors to ensure accurate and timely delivery of services by conducting quarterly touchpoints.
Coordinate with internal stakeholders (HR, Finance, IT, Admin, Legal, etc.) to support HR operations and employee requests.
Knowledge, Skills, and Abilities:
Meticulous attention to detail and good organizational skills.
Experience in partnering and negotiating with vendors.
Strong communication and interpersonal skills; able to handle employee concerns with professionalism and empathy.
Has a strong understanding of government-mandated benefits and processes.
Experience in payroll coordination or working with payroll systems is an advantage.
Ability to operate with agility in a fast-paced environment.
Qualifications:
Bachelor's degree in Human Resources, Business Administration, or any related field.
2–3 years of experience in HR operations, benefits administration, or generalist roles.
Amenable to work on a hybrid work setup.
