Assistant Import/Supply Chain Coordinator
We are seeking a detail-oriented Import/Supply Chain Coordinator to help manage the end-to-end logistics and vendor relationship process between our Groveport, Ohio operations and our manufacturing partners in Asia. This role is central to keeping our supply chain moving — from scheduling production and coordinating shipping container logistics, to managing customs documentation and processing payments to overseas factories. The ideal candidate is organized, communicates well across time zones and cultures, and is comfortable juggling logistics, documentation, and finance-adjacent tasks in a single role.
Key Responsibilities
Coordinate scheduling, booking, and tracking of shipping containers from factories to U.S. ports and final destinations
Serve as the primary point of contact with overseas factories regarding production timelines, shipment readiness, and order status
Manage import documentation, including bills of lading, commercial invoices, packing lists, and customs entry paperwork
Coordinate with freight forwarders, customs brokers, and trucking companies to ensure timely container pickup and delivery
Track and reconcile purchase orders against factory invoices; process and schedule international payments (wire transfers, letters of credit, etc.) in coordination with finance
Monitor container arrival schedules and proactively flag delays, discrepancies, or customs holds
Maintain accurate shipment and inventory records in company systems (ERP/TMS)
Communicate regularly with internal stakeholders (purchasing, warehouse, finance) on shipment status and potential supply chain risks
Support cost analysis and negotiate freight/logistics rates where applicable
Requirements
2+ years of experience in import/export coordination, international logistics, or supply chain operations
Experience working directly with overseas manufacturers, ideally in China, is strongly preferred
Familiarity with international shipping terms (Incoterms), customs procedures, and import compliance
Experience handling international payments or working closely with finance/accounting on vendor payments
Strong organizational skills with the ability to manage multiple shipments and deadlines simultaneously
Proficiency in Microsoft Excel/Office; experience with ERP or transportation management systems (TMS) a plus
Excellent written and verbal communication skills; experience communicating with overseas partners across time zone differences
Understanding of harmonized trade codes is required
