Job Description
Executive Assistant & Bookkeeper
Amateur Players Tour is hiring an Executive Assistant & Bookkeeper to work directly with our owner. This is a right-hand role: you'll protect his time, keep our books clean, and grow into sponsor and partnership work as you learn the business.
The first job is the inbox and the calendar. The second is the money. From there, the role opens up.
Executive Support
Manage and triage the owner's inbox — flag what needs him, handle what doesn't
Own the calendar: scheduling, confirmations, travel, resolving conflicts
Draft and send routine correspondence on his behalf
Prepare for meetings and track follow-ups afterward
Keep files, records, and systems organized
Bookkeeping & Accounting
Enter, code, and track invoices, expenses, and receipts
Manage accounts payable and accounts receivable
Track member and chapter payments; follow up on outstanding balances
Support monthly reconciliation and close alongside our Director of Finance
Maintain accurate, audit-ready financial records
Sponsorship & Business Development (as you grow into it)
Maintain sponsor records and track contract deliverables
Prepare sponsorship materials and follow-up communications
Research and build lists of prospective partners
Join calls, learn the business, and take on more over time
What we're looking for
2+ years in administrative, executive support, or office management
Bookkeeping or accounting experience is a major plus — QuickBooks especially
Strong writer. You'll be sending email in someone else's voice.
Detail-oriented with money and comfortable with numbers
Discretion — you'll see confidential information every day
Proactive: you spot the thing that needs doing and do it
Coachable. We're hiring for where you can be in a year, not just day one.
Schedule & Location
Full-time, in office at our Decatur, IL headquarters. Hybrid flexibility is reviewed at 90 days based on performance. We want to build that trust in person first.
To apply: Send your resume and a short note on why this role interests you. Tell us about a time you took something off someone's plate before they asked.\nCompany Description
Amateur Players Tour (APT) is a national amateur golf membership organization with 48 chapters across the United States and Canada. We run competitive tournaments for everyday golfers — people who love the game and want to compete against players at their own level, on great courses, in real events.
Our members aren't pros. They're weekend players, club regulars, and lifelong golfers who want more than a casual round. We give them a season, a leaderboard, and a community.
Our small headquarters team in Decatur, Illinois supports chapter owners nationwide who run the events on the ground.
