All of our services are intended to be collaborative and personalized for the individual.The Executive Assistant is responsible for high-level administrative support to the executive team staff.
This position manages a wide range of advanced administrative and executive support-related tasks.The pay range for this position is $26.21 - $30.71 an hour based on experience, education, and/or licensure.Essential Functions:Provides administrative support and assistance to the Chief Operating Officer, Chief Financial Officer, Chief Administrative Officer, Chief Medical Officer, and/or other assigned leadership staffWorks closely with executive and senior leaders to support internal and external communications as well as any requests from the Board of DirectorsManages appointment calendars, travel arrangements, and meeting planning to support executive commitments and responsibilities with appropriate follow-up to keep the staff functioning cohesivelyManages supply ordering and expense reporting for assigned executive team membersCreates, proofreads, and compiles correspondence, required reporting, and presentations on behalf of executives.
Provides current agendas and necessary materials prior to meetings and keeps executives informed of any changesMaintains sensitive and confidential issues and inquiries for executives, including personnel, wage, budget, and strategic informationWorks to foster relationships across all levels of the organization to negotiate complex dynamics and manage projects and partnershipsSchedules and attends meetings on behalf of executives, taking notes and recording minutesReceives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staffPerforms office tasks including maintaining records, ordering supplies, and performing basic bookkeepingCoordinates and manages special projects, events, and initiativesActs as a liaison between executives and internal/external stakeholdersConducts research and gathers information for executive useAble to be available outside of normal business hours to assist the Executive Team, when neededTravel within designated service areaPerforms other duties as assignedMinimum Requirements:Education/Licensure:A high school degree or GED equivalent is requiredA bachelor's degree in business administration or related fields is preferredExperience:4 years of administrative support, office management or related experience is required.Experience in behavioral health, healthcare or related field is preferredKnowledge, Skills and Abilities:Advanced communication skills, both oral and written is requiredAdvanced organizational skills are requiredAdvanced time management skills with the ability to meet deadlines is requiredAbility to function well in a high-paced and at times stressful environmentAdvanced knowledge of office administration, clerical procedures, and recordkeeping systemsAbility to work independently and as part of a teamAbility to maintain confidential informationAdvanced proficiency with Microsoft Office (Word, PowerPoint, Excel, Outlook, OneNote, SharePoint) with the ability to learn new or updated softwareAble to prioritize conflicting demands, handle issues proactively, and follow through on projects and deadlines with effective, on-time, and accurate completionAdvanced analytic, problem-solving, and organizational abilities is requiredA valid driver's license and the ability to operate a motor vehicle is requiredAn appropriate level of auto insurance coverage is requiredAbility to manage deadlines within a fast-paced, high-volume environment is requiredAbility to operate in an Internet-based, automated office environment is requiredAbility to maintain a high-speed internet connection is requiredPhysical Requirements:Prolonged periods of sitting at a desk and working on a computer is requiredMust be able to lift up to 15 pounds at times is requiredThe above list of duties is intended to describe the general nature and level of work performed by individuals assigned to this position.
