Lead Program Administrator, Language Services
The Lead Program Administrator provides financial, administrative, interpretation, and translation coordination support for IINE Language Services. The role helps ensure accurate records, efficient scheduling, timely client communication, and organized program operations.
Key Responsibilities
Maintain financial records, invoices, payments, and billing documentation.
Support accounts payable, accounts receivable, reconciliation, and payment tracking.
Coordinate interpreter schedules, assignments, confirmations, timesheets, and mileage records.
Process interpretation requests through phone, email, website, and scheduling platforms.
Coordinate translation projects, including quotes, deadlines, project documentation, and delivery.
Communicate professionally with clients, interpreters, translators, vendors, and staff.
Manage phone lines, voicemail, shared inboxes, spreadsheets, and program files.
Maintain confidentiality of financial, client, employee, and service information.
Support payroll, billing, reporting, and general administrative operations.
Identify discrepancies, follow up on missing information, and resolve issues appropriately.
Qualifications
High school diploma or equivalent required; college degree preferred.
1–3 years of experience in bookkeeping, accounting support, administration, scheduling, customer service, or coordination preferred.
Experience with invoicing, payment tracking, spreadsheets, timesheets, or billing preferred.
Strong Microsoft Office skills, especially Excel, Word, and Outlook.
Experience with QuickBooks preferred; Intacct familiarity is a plus.
Ability to learn systems such as Atrium, Boostlingo, and SharePoint.
Excellent organization, communication, attention to detail, and problem-solving skills.
Ability to manage multiple priorities in a fast-paced environment.
Bilingual or multilingual ability is preferred but not required.
