Description:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to senior leadership. The ideal candidate is an excellent communicator who can manage multiple priorities, maintain confidentiality, and ensure the smooth day-to-day operation of executive activities.

This is a fully remote position requiring strong time-management skills, professionalism, and the ability to work independently in a fast-paced environment.

Key Responsibilities:

Manage executive calendars, appointments, and scheduling across multiple time zones.

Coordinate virtual meetings, prepare agendas, and record meeting notes and action items.

Screen and prioritize emails, phone calls, and correspondence.

Arrange domestic and international travel, including flights, accommodations, and itineraries.

Prepare reports, presentations, spreadsheets, and other business documents.

Track deadlines, follow up on action items, and ensure timely completion of tasks.

Assist with project coordination and cross-functional communication.

Maintain confidential files, records, and sensitive information.

Handle expense reports, invoices, and basic budget tracking.

Support special projects and perform additional administrative duties as assigned.

Required Qualifications:

Proven experience as an Executive Assistant, Administrative Assistant, or similar role.

Excellent written and verbal communication skills.

Strong organizational and multitasking abilities.

Proficiency with productivity tools such as Microsoft Office Suite and Google Workspace.

Experience using collaboration platforms such as Zoom, Slack, Microsoft Teams, or similar tools.

Ability to work independently with minimal supervision.

High level of discretion and professionalism when handling confidential information.

Strong problem-solving and decision-making skills.

Reliable high-speed internet connection and a dedicated remote workspace.

Preferred Qualifications

Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field.

Experience supporting C-level executives.

Familiarity with project management tools such as Asana, Trello, or Monday.com.

Experience working in a remote or distributed team environment.
