Credit control and Record Keeping(Collections)

• ¬Monitor credit & debit through Tally ERP 9.0 version

• Co-ordination with client all over India for smooth process of all invoices for payment

• Co ordination with internal departments to resolve accounts receivable queries if any.

• Timely communication with client over phone & through mails for accurate status of outstanding, sending ledger statement, outstanding reports to client on regular basis.

• Collection of all C-forms, TDS forms & maintaining proper records of that.

• If required then escalate the issues related to the outstanding from junior level to middle level and then to the high level at clients.

Job Description:

1. CREDIT CONTROL

Customer Master Creation (Customer Login/Account Opening)

• As an initial stage of credit control process we ensure that customer’s details are filled in the ERP (Enterprise Resource Planning) software.

• We check and verify the customer’s details first such as Name and Address with Pin code, Contact Details, Email ids, TAX details and other documents etc submitted to us.

• Based on customer’s annual turnover, requirement of material, and on decision of management we assign Credit Limit and Credit Period to the customers, which can be also revised and entered in ERP after a certain period based on the customers payment history and requirement of material.

• As we are dealing with the customers like Dealers, Fabricators, Builders, Architects and Distributors, Third party. We define the different credit policy for each one.

Credit Monitoring:

• Monitoring the assigned credit facility and payments by due dates of clients.

• Advices to withdraw or reduce credit facility of clients who have exceeded pre determined credit limit or credit period. and advice to increase credit facility of clients based on their good payment history and demand of material.

• Customer type wise credit policy.

• Based on payments terms we follow the below process:

We ensure that Cash/current dated cheques are collected and credited in company’s account on time

To ensure that all PDCs are collected on time

We do timely deposition of PDC’s into our bank account to maintain the customer in his credit limit.

• We ensure that no new order should be authorised if the same customer has crossed his predetermined Credit limit or Credit Period

• We try to maintain the receivables from the customers in 0-30 days ageing or maximum 60 days ageing to avoid any bad debts in the future.

• To ensure credit notes, debits note and commissions are raised on time by accounts dept to keep the account clean and neat for the customers.

2. DOCUMENTATION & CORRENPONDENCES

• We check Purchase order to check payments terms mentioned on it before order processing.

• We ensure that all delivery challans are submitted by delivery staff with the acknowledgment (signed and stamped) on it from the customers.

• We always communicate with customers by sending emails or letters to them to avoid any misunderstanding and disputes in business.

• We ensure that quarterly balance confirmation letter is sent to each customer for their acknowledgment on outstanding which may also helps in legal action against customers to recover payments.

• We send payments request letter, reminder letter to the customers to recover payments.

3. DATA ANALYSIS & MIS

• On weekly basis we run the outstanding ageing report to monitor the credits and outstanding of customers.

• Based on below areas we do analysis and find out the critical cases and plan accordingly: Customers type wise Analysis, Credit Period wise analysis, Sales person wise analysis, etc etc.

• We also ensure that this Analyzed Data is circulated to respective Sales Person and Management.

• Suggest changes and improvement in ERP system for better credit control.

• To prepare MIS as per the requirement of managements.

4. RECOVERY OF PAYMENTS

• We ensure that all invoices are delivered to the customers before to start recovery process.

• We make sure that any disputes raised in bills or material are resolved on time.

• We keep regular follow-ups with the customers to recover our payments over phone, via emails, Letter and by visiting to the customers.

• We escalate the issue to the higher authority from both the parties to have final closer on disputes if any.

• If required we settle the outstanding with customers at certain percentage only on approval from the management.
