To oversee and fill in as needed; receptionist duties including the appropriate handling and routing of customer and vendor calls, scheduling out jobs, make appropriate travel arrangements for all personnel when required. Create and maintain personnel files, handle all items related to the employee health insurance plan, manage vendors/subcontractor approval and acceptance paperwork (insurance certificates,W9's, applications) document appropriate items related to personnel dismissals, mail , fax receipt and appropriate distribution of all outgoing mail ,other data entry functions as needed. Prepare invoices and post payments received; ensure deposits are taken to the bank on a timely basis. Work on collecting past due A/R, verify accuracy of incoming bills from vendors, post approved bill into A/P (Quickbooks) pay approved bills each week, ensure receipts are printed, reconciliation of vendor accounts, ensure office supplies inventory is maintained and that supplies are ordered from the most cost efficient vendors, maintain employee vacation, personal and overtime summaries, maintain filing system for important agreements or financial documents related to the company. Ensure computer system is backed up every night. Organize special events in the office.
