Prepare general correspondence, use of Dictaphone, typing and proofreading documents, court filings, answer direct attorney phone lines and act as liaison between client and attorney.
Interview clients before scheduling an appointment with attorney. Keep record of clients/payments/statements in QuickBooks Pro 2005.
Prepare packets such as: Application to Probate Will, Real Estate, FE&D documents, Wills, Power of Attorney, Affidavit of Heirship, etc. Call in clients and set them up for appointment to come in and answer discovery questions.
Assist the other legal assistants as needed. Fill in for the Receptionist as needed.

Perform daily Receptionist/Secretary duties such as: answer telephone, greet clients/visitors, sort mail, pay bills/invoices, filing, faxes, prepare memos (word). On occasion call some vendors for price quotes.

Performed receptionist duties for the Counseling Center that included answering multi-line telephone, referring calls, taking messages, receiving clients/students and answering some inquiries. Typed and did word processing for counselors. Ordered and maintained supplies for instructional needs. Maintained a variety of record/files and also maintained confidentiality. Scheduled work-study students, trained and supervised same. Assisted counselor in supervising and maintaining the Career Development Room.
1983-1994 Administrative/Bilingual Secretary-CMA/USDA SCREWWORM ERADICATION PROGAM
I was responsible on a daily basis to type, log, and process reports for merchandise received or transferred. Maintained insurance schedules and policies for vehicles and tractors in use. Responsible for preparing a monthly vehicle register for 11 vehicles with a record book for each. Inputting and maintaining an inventory control file of consumable and fixed items located in our offices and warehouse. Computer printout of this report was due monthly. Responsible for keeping a payroll log for each period showing all deductions, etc. Prepared payments to vendors, employees, and others who supplied materials or services to our office. Prepared and mailed the Workers’ Compensation Payroll Report on a timely basis. Inputting and maintaining personnel files. Prepared correspondence for outgoing mail and sorted incoming mail to designated departments. Ordered supplies as needed with the approval from the section supervisor. As a bilingual secretary, I translated memos from English to Spanish and vice versa. I was responsible to keep in contact with vendors/suppliers who were delinquent on their delivery status for purchase orders, contracts, etc. I also performed the everyday duties of a secretary/receptionist of filing, miscellaneous typing, answering telephones, preparing memos, sending/receiving faxes, etc. Took minutes at our staff/safety meetings. Coordinated with the section supervisor with additional duties as needed. In the absence of the section supervisor or the purchasing department secretary, I substituted for their positions.
