FINANCIAL / BUDGET SUPPORT: Prepare recurring and special reports to aid in developing budget estimates and annual work plans, and allocating funds among program areas. Coordinate adjustments to approved budgets, making suggestions for alternative processes and procedures for accomplishing budgetary transactions. Input and approve procurement requests, verifying receipt of inventory. Serve as the expert on time and attendance processing.
COORDINATE LOGISTICS: Update the company supply sources catalogues. Maintains monthly telephone and emergency alert rosters; updates and distributes all rosters. manage and control project assignments and enter data in automated system to facilitate tracking and follow-up. Coordinate the delivery of supplies at various job sites and monitor to endure delivery is complete and accurate.
EFFECTIVE COMMUNICATION: Developed and oversee the implementation of a company-wide communication system for communicating office policies and procedures. Facilitate communication within the office by attending executive meetings and keeping and publishing meeting notes. Interact with members of the staff, managements and individuals ranging from other organizations to the general public. Serve as the office liaison for groups associated with the company.
CORRESPONDENCE CONTROL: Receive, process and distribute incoming and outgoing materials such as mail, correspondence, reports, memoranda, directives, publications and other forms of written communication. Compose letters, reports and correspondence based upon instructions, brief notes, or information contained in files. Answer inquiries and type forms, labels and index cards. Conduct special studies and analysis of the technical and administrative functions of the office to determine more effective and efficient methods of serving customers. Research specific program issues, collect relevant statistics and other data and maintain them in a spreadsheet. Assist in preparing reports with supporting tables, charts and illustrations, and develop Power Point presentations.
USE OFFICE AUTOMATION TOOLS to coordinate the administrative and clerical work for the office. Perform office automation work requiring the use of software applications and computer equipment. Maintain hectic calendar for supervisor and schedule appointments, meetings, and conferences.
