I have worked with two sections of the Maximo database. I was introduced to this database utilizing the asset management section. Issuing & receiving materials to crafts, from crafts, site’s storerooms. Next were managing, tracking, and maintaining all areas of the Service Desk in accordance with updated revisions of guidelines, directives, SOP, and work instructions. I’ve downloaded reports from the database to notify both internal (KBR) and external (Military, etc.) entities of occurring or pending requests and scheduled services such preventative maintenance and quarterly facility maintenance inspections. So, an understanding of the SOW (Scope of work), MSOW (Master Schedule of Work) and SOP (Standard Operating Procedures) is a must have knowledge to work alongside with military and coalition forces to complete our day to day mission.

Admin Assistant (Customer Service Desk) Kellogg Brown & Root, LOGCAP III Baghdad Iraq

• Utilize Maximo database to provide, track, manage, and maintain all service orders and work orders at service desks on several sites within the VBC of Baghdad, Iraq. (Victory Base Complex)

• As a service desk representative I serve as the initial point of contact and liaison for services provided to the military or other clients, including multi-national forces, Sub-contractors and internal (KBR) departments.

• Work with the Site Manager (KBR) and/or his/her designee to notify the base Mayor (Military) and the ACO (Administrative Contracting Officer) of scheduled interruptions of service due to maintenance or repairs no later than ninety-six (96) hours in advance of the scheduled interruption.

• Receive client’s SOR’s (service order requests) through emails, phone calls, or walk-ins then generate the request electronically in the database in accordance with the SOP, DOP, Work Instructions, and Technical Directives.

• Prior to generating the SOR I review the request then determine the level of maintenance, work class, work type and work order priority requirements with the knowledge of the MSOW, SOW and Appendix F (Facilities Tab of MSOW).

• At the same time the SOR is assigned to the appropriate craft, and is notified or dispatched to initiate either emergency, urgent, or routine services.

• After receiving a completed hard copy of the SOR, within a timely manner, I update the Maximo database with the SOR in the complete status then file in chronological order according to SOR number provided by Maximo

• On a daily basis, an excel spreadsheet (pending report w/ pivot tables) is generated and provided to all craft personnel to monitor and show all pending services.

• On a weekly and monthly basis, an excel spreadsheet compliance report w/ pivot tables and formulas is downloaded and provided to our Operations Cell to show the quality of our weekly and daily performance against compliance within contract requirements.

• When the database is not available for any reason, we still continue to function. All services must be provided and records maintained outside the database with log sheets and hand written SOR’s with manual tracking numbers.

• Coordinate with supervisor for immediate in problem solution and decisions if any.

• Listen to customers and question and problems if any and refer it to the supervisor

• Render a good customer service to out clients whether it’s military or civilian personnel.

• Assist attendant it they have any problem or question regarding with the job.
