Administrative Assistant to the Senior Associate Dean, DeBusk College of Osteopathic Medicine
Managed all aspects of day-to-day operations in the office of the Senior Associate Dean (External Affairs Department). These responsibilities included, but were not limited to: Maintaining the associate dean’s schedule; Working with various entities (mainly hospital and health clinic administrative offices) to schedule/coordinate presentations made by the associate dean, which were geared toward securing affiliation agreements for their organization to serve as rotation sites for DCOM medical students; Corresponded daily with members of numerous local, state, and national board associations, of which the associate dean was a standing member; Secured all aspects of travel arrangements for the associate dean, as well as completed all forms required for such travel (i.e. requests for travel approval and expense reports); Created and maintained files containing the associate dean’s records of state licenses, DEA and NPI numbers, as well as various other certifications, i.e., ACLS (advanced cardiac life support) and PALS (pediatric advanced life support) and tracked these certifications to ensure they remained current; Tracked associate dean’s annual CME’s (continuing medical education units) to ensure compliance with requirements for maintaining D.O. licensing; Maintained database and scheduling process for DO and PA programs’ state and national meetings attended by selected faculty and/or staff; Assisted in the appointment process for adjunct faculty and preceptors by processing appropriate background checks and license verifications; Created files on potential adjunct faculty for review by department chairs prior to official appointments; Generated and distributed adjunct faculty appointment letters and certificates following official appointment; Maintained an adjunct faculty database by adding new adjuncts, and following same initial process for re-appointments to remain on the database. Assisted associate dean in formatting exam items for submission to examination services department; Assisted examination office with receipt of exams from students whenever needed; Monitored departmental budget to ensure budget lines remained at appropriate levels; Ordered/maintained office supplies; Assisted other administrative assistants with phone coverage and overflow work as needed.
