Executive Administrative Assistant
Works closely with all U.S. Secretary of state offices to secure and renew all corporate entity business/firm licenses, certificate of authorities, engineer individual licenses, and file state Articles of Incorporation, in 48 states and Canadian provinces.
Company Fleet Vehicle coordinator; Assist with purchase negotiations, assign vehicles to employees/teams, track mileage/fuel/maintenance reporting for AP billing, renew leases, registration, plate stickers, titles and transfers, retire vehicles and move for auction.
Company Insurancing; Entity professional liability coverage, vehicle claims.
Prepare a variety of standard and customized reports required both internally and by regulatory agencies.
American Express Corporate Card Administrator; liaison between employees and AMEX, company online application approver, generate all AMEX policies and website news to employees, work closely with A/P on account balances and payments, and conduct AMEX presentations for new hires.
Calendar management; schedule diverse and complex appointments, meetings, and travel arrangements.

Human Resources Coordinator & Recruiting

Initiate recruitment assessment tools for candidates, such as Myers-Briggs, Wonderlic, Industrial Psychology evaluations, background checks and coordinate drug screenings.
On-boarding: Verify new hire paperwork, facilitate presentation video on history of company and employee benefits, a tour guide for the company facilities, provide building photo and ID registrations, assign parking passes.
Works closely with recruiters to help generate job descriptions and define goals of contract for temporary employees.
Process and maintain employee life-cycle and benefit records; leave of absences, short-term disability, etc.
Investigate benefit discrepancies with BCBS, Aetna, United Healthcare and Rx companies, on behalf of employee and process Cobra payments.
Responsible for company policy revisions, scheduling Human Resources seminars and employee trainings.
Source candidates through internet, classified advertisements, social networking sites, and employee referrals.
Post all open positions using Monster, Career Builder, Hot Jobs and any other specific sites as needed.
Interface with payroll to enter transactions in HRIS, employee time reporting and HR invoicing.
Run and distribute various reports for HR and Accounting dept.
Oversee hired temps for company quarterly filing, (on-site to off-site file management) and assist with annual benefit Open Enrollment.
Employee relation liaison between employees and HR Director. Respond to, or direct employee concerns received via email, open door, fax or employee hotlines, to Director.
Assist with company wellness campaigns; “Eat Well Live Well”, LifeSource blood drives, Casual Day for a Cure, and the Annual Chicago Corporate Challenge marathon.
