Title: Management Assistant
Duties: Provide administrative assistance to the Program Administrator, physicians, the
Program Support Supervisor, Pharmacist, 3 ARNPs, 3 Physician Assistants. I am timekeeper for 23 faculty and staff in the Kronos system. I update excel spreadsheets with business leave data for each physician in hematology. Schedule meetings for the Division Chief and Program Administrator, take minutes at meetings, type and distribute to division. Provide accurate calendar of faculty leave for all hematology staff to view. Keep confidential information filed in program administrator’s office, answer phones, file and sort mail. Order supplies as needed for department. Provide exceptional guest relations to drug reps, physicians and guests who enter the suite. Co-ordinate Faculty Retreat at off site location. Coordinate lunches for faculty with drug reps for meetings held within the department, as well as setting up and cleaning up after these lunches. Keep appointments on calendars for the staff I support. Temporarily support to additional physicians in the absence of a management assistant. Update government forms for ARNPs on an annual basis. For 2 years I organized and scheduled Mole Patrol at Clearwater Beach from the paperwork to packing all literature, grab bags, sun screen, refreshments, etc. for the event. Title: Senior Patient Service Representative/Patient Service Representative
Duties: In February I was promoted to Senior PSR where my responsibilities include supervising PSRs in BMT/Hematology Clinic, as well as in GU and Senior Adult in the absence of the senior in that clinic. I overbook appointments, cancel clinics, work in all positions in the absence of PSRs, verify billing is correct for Hematology, BMT clinic and infusion center. Prep clinic for nurses, physicians and ARNPs by printing lab results from last visit, printing progress note from last visit, If hospitalized since last visit, print discharge summary, print Bone Marrow Biopsy reports, print all radiological reports for testing done since last visit, prep paperwork for bone marrow biopsies. Pre-register patients and print labels if not already done. Print a new patient/new established patient list weekly. Organize all records, slides and film by physician and date in cart. Call patients and physician offices to obtain all records, slides and films that are not on cart. Check daily for new information received on patients. Take all urine specimens and all pathology slides to lab and pathology at least 3 times a day. Complete Moffitt pathology review form to send with slides and reports. Keep log of all slides taken to pathology. When pathology receives slides directly, I fill out a pathology review request and fax it to pathology. Call and request lab results be faxed to Moffitt. Schedule lunches with drug reps. Order tables, set up food, then clean up after lunch. Find phone numbers of physicians for the Moffitt physicians. Fax release of information to various hospitals, physicians, and pathology to obtain medical information needed. Send faxes for the nurses, confirm the fax was sent. Take all faxes from fax machine, put the physician’s name on it, patient’s UR# and date to be seen then file in nurses bins. Order supplies for the clinic from General Stores as needed. Complete ad hoc charting on line to send x-ray films to radiology Request forms from copy center. Update telephone list of physicians, nurses, management assistants, PSRs, midlevels, etc. for the PSR staff. Fill in as needed to register patients. Work in BMT and Hematology check out scheduling patients for future appointments. Check CareMetic for Medicare patients to ensure testing is covered. Answer multiple telephone lines, fax orders to appropriate department when necessary. Work as a team player where ever I am covering.
