JOB RESPONSBILITIES

Having good exposure to computer environment. we are doing all our accounting and stock entries in Java based Exensys software(CITRIX Flatfirm) which is online with our Head Office. Prior to this I have done accounting in Tally and Oops (Orcale based package).

DEPOT OPERATIONS :-

STOCKS :

Maintenance of adequate stocks in the godown as per the market requirement.

Looking after proper storing of the stocks as per Company procedure to avoid leakage and damage.

Placing Indent to the H.O and factory for stocks as per requirement from time to time.

Preparation of Stocks reconciliation on weekly, monthly and yearly basis and submitting the said report to the H.O and factory.

Timely Liquidation of leakage stocks by taking approval from H.O in order to avoid loss due to the leakage and damage.

Till date successfully undergone stock audit conducted by the H.O without any adverse remarks i.e, either shortage of stocks or heavy loss due to leakage and damage.

Coordination Job with Both Distributors, Head Office & Sales Team :-

As we know oil trade is fluctuating market, I keep constant track of the market and communicate every day rates both to the Distributors and Sales team on daily basis after receiving the rates from H.O.

As per our system I take advance booking from the distributors and book the same (Souda). I also ensure the stocks are dispatched to the distributors as per the Souda booked by them.

I update the Soudas of every day to H.O on daily basis for doing needful at their end.

I am actively involved in logistics, On regular basis I do Freight survey for primary and secondary dispatches from Vizag and communicating the same to H.O. and logistics department

On regular basis I do Inform to H.O and Sales Team about competitors activities reg. rate and promotional activities etc

Collections

Strictly maintaining the credit periods to distributors and traders as approved by the company officials

Coordinating with H.O. persons reg. Collections and party accounts

Timely deposit of the Cheques and follow up whether the cheque has been cleared or not.

Ensuring collection of Demand Draft against Cheque bounce along with the penalty from the distributors in time.

Reporting & Records Maintaining

Sending of Daily sales and receipts report, soudas and DC’s summery to H.O

Monthly and yearly sales and receipts report

Stock Ageing analysis report on fortnight basis

Stock register, sales register, collections register, Customer ledger, Soudas register as per Company guidelines.

Labour Controlling & Liasioning: -

Loading, unloading and delivery and payment of hamali charges

Liasioning with the Government Officials like Sales Tax Officer, Labour inspector etc to avoid any problems.

Imports

I am looking after the Imported Vanaspati which is being brought to Vizag port and simultaneously the dispatch of the same to various parts of South India, Orissa & Chattisgarh by coordinating with the H.O.people

Training & Branch Establishment:-

During the period from 15th Nov ’04 to 5th Jan’05 I have established a branch at kurnool & trained 2 personnel. Professionally I have completed this task with in 50 days of period.

Achievement

We have Started the godown with 40 tones turnover per month and now successfully reached a turnover of 450 tones (Excluding Direct Dispatches) per month with in the span of 18 months only due to timely onward supplies to the three districts by keeping good coordination with the marketing team and the distributors without any problems till date.
