Responsibilities and Skills
Participate in short and long-range planning of the departments within the division/department, as directed by the Associate/Assistant Superintendent.
Discuss progress of projects and needs/concerns of department/direct supervisor.
Coordinate the day-to-day functions of the division/department to meet the objectives of the area, department, and district.
Utilize Oracle to enter requisitions, track purchase orders, enter receivers, and follow-up with vendors to resolve issues concerning materials not received.
Reconcile, monitor, and review General, Title 1, Reading First, and AYP budget expenditures for accuracy to ensure that funds are expended as budgeted.
Enter, maintain for grant documentation, and review payroll of office personnel and campus instructional coaches for accuracy prior to approval and submission.
Prepare and process requests for budget transfers and maintain records for documentation.
Develop and implement action plans to meet departmental objectives for grant compliance.
Supervise Administrative Assistant III to organize and manage routine work activities by prioritizing tasks for time management and efficient office operation.
Perform administrative duties including maintaining the department filing system, processing routine correspondence, placing and receiving telephone calls and recorded messages, and signing routine correspondence in the supervisor’s name.
Receive, review, and process all new hire paperwork and forward to the appropriate employment administrator.
Provide quality and strong customer service to the public, to employees regarding personnel issues, and to applicants concerning employment status.
Format, type, and deliver correspondences, financial reports, etc., as needed.
Provide training opportunities for department and school staff to utilize funds allocated to ensure compliance and maximize learning potential of students.
Assist with internal and external audits as assigned.
Compile data for reports by researching and summarizing information.
Run a high volume of copies, handouts and other materials needed for training and meetings.
