CONTRACT ADMINISTRATOR / PROJECT COORDINATOR

•Collaborate with Project Managers to establish projects in Procore, including budgets, commitments, change orders, inspection templates, and prime contracts with schedule of values.

•Assist with new project kick-off meetings and contract administration.

•Coordinate contract requirements with regional offices, field personnel, and subcontractors, ensuring compliance with W-9s, COIs, and pre-contract documentation.

•Maintain heavy interaction with Project Managers on budgets, cost coding, and invoicing.

•Prepare AIA A305 documents for project presentations and transition shared documents to Procore.

•Oversee field office setup and operations, including utility account management.

•Create and process contracts, change orders, purchase orders in Procore. Make sure all documents pertaining to certain projects are all entered into Procore.

•Create and process monthly subcontractor/owner pay applications as well as GC / owner billing, invoices and lien waivers, processing over $1M in monthly billing (2022–2023).

•Resolve vendor and subcontractor payment discrepancies, track lien waivers for draw payments.

•Apply for business licenses, building and trade permits, as well as state business licenses. Maintain license tracking spreadsheet to ensure all licenses / permits are applied for before expiration.

•Prepare and submit union labor and fringe benefit reports; enter certified payroll into LCP tracker.

•Set up new vendor accounts, send Notice of Commencements, and track material supplier status.

•Reconcile vendor invoices with material deliveries and maintain contract/change order logs.

•Maintain up-to-date Certificates of Insurance and W-9s, tracking expiration dates and requesting renewals as needed.

•Print plan drawings using a plotter copier. Maintain and troubleshoot any plotter issues.

•Prepare project closeout books, secure retainage draws, and finalize lien waivers.

•Visit project sites for filing, organization, and support.

•Disburse checks and ensure signed lien waivers are collected.

•Track and manage electrical utility accounts across construction, property management, and corporate accounting.

OFFICE MANAGER, HR and ADMINISTRATIVE

Supervise and train administrative personnel, delegate workloads, and oversee daily office operations.

Assist HR with preparing and distributing new hire packets, ensuring all required documentation is completed and collected
