U.S. Department of Energy, Western Area Power Administration (WAPA) IT Business Office Support
Responsible for providing administrative support services to the Information Technology Business Office to include project support, data validation, data mining and mobile device program support.
• Coordinated IT Business Office 2024 Face-to-Face Team Meeting at Hoover Dam in Henderson, Nevada. Assisted in confirming agenda, arranging air travel and hotel accommodations.
• Monthly audit of travel and overtime invoices for Epsilon IT Contract. Following Federal Travel Regulations as guidance, audited travel vouchers submitted for reimbursement for contract employees assigned to the WAPA IT Contract.
• Completed WAPA-wide true-up of all mobile devices. Provided final audit results to WAPA Mobile Device Program Manager.
• Completed overdue mandatory reporting for Federal government contracts. Worked with end-users in gathering feedback for contract performance. Entered results in Contractor Performance Assessment Reporting System (CPARS). Continued support of this requirement after past-due reporting was brought up to date.

Executive Assistant to the Administrator and Chief Executive Officer, WAPA
• Provided administrative support to the Chief Executive Officer and Chief of Staff. Managed calendar and travel schedule. Coordinated on and off-site meetings for CEO.
• Collaborated with WAPA Public Affairs staff in identifying opportunities for the CEO to speak at various customer meetings and events domestically and internationally. Meetings included WAPA customer meetings and events hosted by leaders in the energy industry.
• Coordinated with DOE personnel for the Administrator to attend Electricity Subsector Coordinating Council and Energy Government Coordinating Council Meetings in Washington, D.C., both meetings hosted by DOE.
• Prepared travel authorizations and vouchers and tracked until reimbursements were issued. Completed monthly reconciliation of federal government travel card to make sure all expenses were captured and submitted with accuracy.
• Point-of-contract for all incoming correspondence to determine action required by the CEO and Chief of Staff. Highly confidential documents required strict handing of sensitive information.
• Coordinated with the Washington Liaison Office (WLO) to ensure Congressional Correspondence was addressed before deadline date. Drafted internal memos and external correspondence and proofread all incoming documents for the CEO’s review before approval.
• First point-of-contact for rates managers and WAPA personnel in reviewing incoming Federal Registry Notices (FRNs). Responsible for review of documents for proper format and accuracy. Follow-up with the appropriate manager with corrections and suggested changes. Once review was complete, presented FRN to the appropriate attorney for their approval for legal sufficiency prior to CEO review and approval. Coordinated with the WLO for final processing of publication.
• Assisted the CEO and Chief of Staff with yearly Exceptional Service Award program. This is the highest award given to WAPA employees by the CEO. Coordinated award ceremonies WAPA-wide which were held in-person across WAPA regions.
• Team lead for the Senior Administrative Assistant Team (SAAT). Provided support and assistance to team members when called upon. Coordinated two face-2-face SAAT Team meetings, one at WAPA HQ in Lakewood, CO and a second at Sierra Nevada Region in Sacramento, CA. Confirmed speakers and scheduled training sessions.
• Coordinated with schedulers in Washington D.C. in confirming meetings for the CEO to meet with members of Congress and House of Representatives. Worked with WAPA Public Affairs in preparing specific talking points for scheduled meetings.
• Point-of contact for the Senior Leadership Team face-2-face meeting schedule and provided support when meetings were hosted at WAPA HQ.

Senior Administrative Assistant to the Chief Information Officer (CIO)
• Responsible for providing administrative support to the CIO in the daily operation to include support to IT Regional Managers and subordinate staff in coordinating OCIO initiatives and projects in Rocky Mountain Region, Upper Great Plains Region, Sierra Nevada Region and Desert Southwest Region.
• Drafted and edited documents for distribution. Documents included internal memorandum, meeting agendas, read-ahead materials, weekly status reports, spreadsheets, IT documents of technical nature, presentations and organizational charts using MS Word, PowerPoint, Excel and Visio. Documents at times were confidential or sensitive in nature. Reviewed documentation to determine when Official Use Only (OUO) was to be applied.
• Maintained daily calendar for the CIO. Scheduled and coordinated weekly staff and focus meetings; coordinated A2000 all employee meetings and annual off-site strategic planning workshops with managers and team leads. Coordinated the Senior Standing Team for Technology monthly conference calls and face-to-face meetings and scheduled regular quarterly conference calls with the four Power Marketing Administrators with the DOE CIO.
• Purged existing outdated files, coordinated with A2100 and A2200 administrative assistants with regards to files to be retained by managers. Updated and maintained existing filing system for the OCIO to ensure the timely retrieval of information at all times.

• Provided administrative support to the IT Operations Manager and 18 federal staff assigned to the IT Operations Center. From May until October 2009, added responsibilities included providing administrative support to the Chief Information Officer. • Scheduled and coordinated conferences for A2100 and A2200 IT staff. Reserved meeting space and ensured all special requests for video teleconference, laptops and any special equipment was reserved and delivered. When requested attended meetings and prepared draft minutes.
• Assisted managers in maintaining daily calendars to ensure they were accurately informed of all upcoming meetings and commitments. Tracked employee annual leave for A2100, A2200 and contract staff to ensure critical system coverage throughout the year.
• Prepared travel authorizations and vouchers in GovTrip for IT managers and staff members ensuring reservations were made correctly and in a timely manner. Prepared and submitted travel vouchers for reimbursement and acted as the point-of-contact to resolve questions and requests from accounting after vouchers had been submitted for reimbursement. Kept managers and staff informed of updated travel policies. For budget purposes, posted all travel vouchers to the master budget spreadsheet on a shared drive.

• As Atlanta Coordinator provided executive administrative support to the CEO and President of Turner Broadcasting System and senior executive responsible for the rollout of TV6 Moscow, a joint-venture broadcasting project based in Moscow. The mission of the project was to establish the first independent television station in the former Soviet Union. Traveled to Moscow and St. Petersburg, Russia to assist with efforts in supporting the joint venture between TBS and TV6 Moscow.
