Detailed Description of Duties: (Do Not Attach Position Description)
As a Service Representative, I manage the reception area and interview claimants both face-to-face and by telephone in a respectful, responsive and professional manner. My goal is to determine the nature of their problem and take corrective action as necessary. The native language of my country is Spanish. I have been a bilingual service representative for 11 years and 6 months but have been translating for more than 20 years. I fluently read and write in Spanish and assist in translating for non-English claimants taking applications for both T16 and T2; this has given me the experience in developing claims for both the titles.
I assist our claimants in person and by telephone. When conducting interviews, I set the tone of the conversation, which leads to a positive outcome. I listened to the issues being raised by claimants and respond appropriately and with sensitivity. I investigated and resolved discrepancies, which can cause the interruption of monthly payments. I ensure that any payments are paid to the number holder in a timely manner. I utilize the Modern Development Worksheet to communicate with payment centers as well as control and monitor these cases. I demonstrated sound analytical reasoning when applying policy and procedures in order to resolve a case. I ensured that my knowledge of SSA programs and procedures were current by attending office trainings, reviewing daily Policy Net postings, researching policies and procedures to ensure that proper actions are being taken. My goal is to ensure that the right claimant receives the correct payment at the right time. I communicate with claimants in a way that is clear and easy to understand. I compose letters that address various issues and ensure that all appropriate information is included. Through the utilization of the 800# appointment system, I schedule appointments for retirement, disability, survivor and Medicare claims. I provide retirement computations at different ages to help claimants make the right decision. By utilizing the Earnings Modernization System (EM 2.8), I identify, resolve and process earning discrepancies. I help claimants understand their Medicare enrollment options and payments and enrollment options of initial enrollment period (IEP), general enrollment period (GEP) and special enrollment period (SEP) as well as process the enrollment applications.
I provide answers to inquiries regarding social security insurance and supplemental security income benefits. This involves explaining the technical and regulatory information of both programs. I properly investigate problems and concerns, involved with these benefits and resolve these issues. I explain provisions of their eligibility and benefits paid under retirement, survivors, disability, the Medicare and the supplemental security income program. As a SR, I make necessary changes to both T2 and T16 programs. I utilize the post entitlement eligibility screen for T2 changes and MSSICS and non-MSSICS programs to update T16 records to prevent missing or incorrect payments. I authenticate proofs provided to ensure they are acceptable for claims. I photocopy and certify the documents and forward them on to the appropriate staff. Sometimes it is even necessary to input this information to the shared processes program to enable claims representatives in the ICTU to complete their claim taking process. I provide detailed information about work incentives provisions, reporting requirements, submitting proper reports to continue, suspend, or terminate monthly payments I make contact with claimants, investigate the reasons and why for of the cause of overpayment and made determination on whether to approve or disapprove the waiver request. Once an overpayment is input, I initiate recovery, setup payment arrangements, and provide the number holder with their waiver options or appeals rights as appropriate. As a service representative, I process informal waiver request. This includes ensuring the proper completion of the request for waiver of overpayment form (632) and ensures proof of monthly expenses is included. After the documents return to the field office, I verify monthly expenses by the proofs that the claimant submits and make necessary inputs in debt management to initiate the waiver request process.
As a SR, I select preferred representative payee when the need for representative payee arises. During this interview, I inform them of their reporting responsibilities, which include the completing of representative payee accounting forms mailed out to them on a yearly basis. I explain reporting duties to the payee and ensure they fully understand their duties. I complete Organizational Payee applications submitted by approved agencies. The ERPA program enables me to manage the reporting responsibilities of representative payee. My responsibility is to maintain this program by making necessary phone calls or mail contacts to the payees to make sure they complete these forms. There is also a field office request for assistance from PC to deal with non-responsive payee accounts forms or undeliverable payee accounting forms. My service representative duties are to get these accounting forms completed, and stress the importance of their reporting responsibilities. Representative payee accountability has become a very important process in the management of Social Security benefit payments.
I receive, verify and process student attendance forms in a timely manner to ensure non-interruption of payments. I also receive, develop and monitor Social Security disability, retirement or survivor requests for waiver of overpayment with the Debt Management System (DMS). I assisted claimants with filing and completing documentation for appeals and hearing requests. I utilized the SS-5 Assistant program to process Social Security Number applications for both Foreign born applicants and US citizens. I evaluate the evidence, check for authenticity of documents and code the application properly. I prioritize my workloads and interact with various field offices and program service centers to ensure that I have no aged E562's, MDWs or PCACS. I utilized PUPS to develop and clear prisoner alerts in order to ensure that the appropriate action taken causes proper suspension or reinstatement. I also perform the development and clearance of death alerts. I identified the need for social services and provided proper referrals to other agencies. I provided assistance, support to my co-workers and management in a positive and helpful manner, and serve as a mentor and instructor. I always took proactive steps and anticipated the needs of individuals in order to improve the quality of service and save the agency work. I actively participating in the Opportunity for Excellence Program; my goal is to become a T2 or T16 Claims Representative, and put my practice and duties of Claims Representative. While working with a mentor I have had access to the Online T2 training website. I have been able to load appeals and assist with internet claims. The program has given a broader understanding of what a Claims Representative job entails.
I prioritize my workloads by utilizing WAC. This list allows me to control my desk and workloads associated with being a service representative. I efficiently maintain my workloads on a daily basis. I also manage the death alerts and take the necessary actions to remove number holder’s name from the list. I efficiently develop and process social security number applications. These include new ssn’s, ssn replacements and any development needed to process these requests or make changes to a claimant’s numident record.
I strive to ensure that I am helpful, courteous and accurate in all that I do. I feel I am efficient at my job as a Service Representative and want the challenge that being a Claim Representative will give me. I am able to effectively communicate with all Spanish-speaking claimants as well as interpret documents written in Spanish for proper claims processing. I feel I am ready to accept the task of being a Claims Representative and I know that with my work ethic, I can do the work involved in processing T2 or T16 claims correctly, timely and efficiently.
