Fleet Management and Distribution Management Duties
Ensuring the fleet is utilized cost efficiently and effectively by efficiently managing all costs of transportation, services and inventory transportation within the approved distribution strategy.
Allocation of duties and Supervision of drivers.
Carry out vehicle SPOT CHECKS
Routes planning and load scheduling for all transportation activities for the Organization.
Consolidation of loads and trips for foundry products
Maintain a box filing system for each vehicle that stores all information (vehicle purchase, insurance & registration documents).
Ensure vehicles are used in accordance with rules and regulations laid down in the transport policy.
Ensure the vehicle usage data is correctly recorded in the log- books or log-sheets.
Overseeing all planned maintenance of vehicles by ensuring that the maintenance and servicing schedule of the vehicles is followed.
Verify the analysed vehicle logbooks and reconcile with the satellite tracking system (telematics) and the work plans.
Facilitating refueling and repair of vehicles and generators as and when required.
Monitor the cost expenditure for the fleet and equipment in liaison with the finance department.
Assets and Warehouse Management Duties
Devises methods of stock control, closely monitors warehousing operations, and regularly submits situation reports on stocks and equipment.
Verification of goods upon receiving them into the warehouse
Verification of goods before dispatching to customers as per delivery note (Agricultural inputs and Foundry products).
Maintenance of all warehouse records
Generation and submission of monthly reports to Top Management.
In cooperation with Supply Management System, prepare for receipt of international shipments, and liaise with competent authorities for tax exemptions and port clearances.
Support the allocation and the use of the equipment in accordance with assets policy.
Monitor the maintenance and repairing of the equipment- generators in accordance with laid down procedures. Follow up and oversee that the assets inventory for all offices is accurate and up to date.
Ensure that all electronic assets are properly insured and liaise with the insurance company in case of any insurance claims.
Procurement Duties
Preparation of the budgets for the department in liaison with the Finance departments.
Establish a detailed procurement program plan to determine appropriate specifications.
Recruiting third party, sub-contractors and ensuring that they deliver within agreed terms.
Carry out a supplier evaluation process to determine the reputable and reliable supplier to deal with.
Carry out any other duties as assigned by the Executive or Senior Management.
