WORK EXPERINCE

Partnership (INTPA Consortium Coordination Unit) Finance coordinator: Norwegian Refugee Council,

Generic responsibilities:

• Implement NRC's systems and procedures at Partnership level.

• Ensure adherence to Partnership, NRC policies, handbooks, guidelines and donor requirements.

• Prepare and submit financial reports and analysis.

• Ensure proper filing of all supporting documents in the filing tree.

• Support partners in procedures and required finance team training.

• Prepare all consolidated financial reports both for donor (INTPA) and internal reporting requirements.

• Check and verify NRC Partners’ financial reports and documentation.

• Facilitate monthly Budget versus Actual (BvA) reports with budget holder and follow up on action points.

• Prepare regular project financial progress analysis for internal and external consumption

• Assist budget holders in preparation of budgets (Draft budget); prepare consolidated proposal or revised budgets for donor submission

• Maintain proper and accessible filing of project financial documentation

• Maintain Master budget update for the grant.

• Focal point for internal and external audit processes related to the Partnership grant

• Liaise with Partnership Partners to address gaps in financial capacity, reporting quality, to prepare supporting documentation and be prepared for audit procedures generally.

• Provide financial information and support to Partners, particularly related to donor compliance

• Be the focal point between implementing Partners and NRC.

Budget Management:

• Updating Budget tables and correcting the budget table for the Area manager and program staff

• Analyzing program activities based on Budget table and Payments

• Preparing Budget for Donor budget template and Master budget

• Prepare the South Area Office Budget and spending analysis for the month of October and present and analysis the budget status onward.

• Attend the monthly budget revision meeting along with the AM with the finance coordinator at the CO.

• Build the capacity of the South Area Office finance officer on the budgeting tool.

• Allocating Donor Accounts to Donor budgets in the Budget monitoring tool.

• Preparing and allocating Salary and Detail budget for 4 Areas in the Master budget. Accounting:

• Updating Accounting system including Checking support documents in Hard copy and soft copy, updating system for uploading TNs, finding solutions for cash advance payments,

• Hands-on in managing day-to-day finance activity.

• Statistics by end of October on how the daily posting practice is met

• Ensure the closing of October is properly done at the South Area level with no carried-over payments to the coming month.

• Follow the payment trackers and present the lead time by the end of October as well as by the end of the assignment.

• Check the scanning and archiving ongoing activity and make sure that by the third week of November the scanning is up to date.

• Joint session with the AM and finance officer to present the so-far observation on day-to-day work and the way of improvement if any.
