• Provide professional document control duties by applying diversified knowledge and experience in document control and filing practices to support construction projects.
• Organize and file current document backlog from project job packages per the company’s current filing process.
• Assist team in scanning, organizing, and indexing critical documentation.
• Responsible for processing all submittals and input into the system.
• Responsible for creating a work order for Preventive maintenance and corrective maintenance, inputting the necessary data, uploading reports and photos of the work done, and dispatching to the scheduler in the Maximo system to close the work.
• Responsible for processing all correspondence documents for submission and upload to the Ashghal FCTS system.
• Responsible for the final handover document which will be uploaded and submitted through the Ashghal PLDM system.
• Maintain an updated submittal log, and monitor the submittal schedule and status.
• Transmit documentation and submittals through the Client SharePoint system.
• Receive, log, and track plans and specifications as received including all revisions.
• Distribute plans and specifications to contractor personnel as well as subcontractors.

• Responsible for the day-to-day document management workload
• Maintains a documented system of documents policies and procures
• Manages the control, distribution, and filing of documents and drawings according to established procedures and other instructions from the Document Control Manager.
• Compiles and arranges all the Project Control documents as required
• Follow existing project document control procedures
• Regulate the transmission of all project documents (drawings, procedures, and administrative documents) between the company, subcontractors, and client (Qatar Rail)
• Submission of all Documents to the Client (Qatar Rail) through Aconex and follow to transmit its hard copies as scheduled daily as well as to the subcontractors which used an Aconex System.
• Prepare documentation and status reports
• Circulate the incoming Aconex Notification and its PDF copy to the Department address or person responsible for their information or action.
• Received the Subcontractor hand over Document or Letter, scan and circulate it through email outlook to the Department address or person responsible for their information or action.
• Outgoing letter handed over to the Subcontractor & prepare the receiving copy.
• Arrange a driver to submit Documents to the different vendors if needed.
• Provide technical assistance to the project team as required
• Supports the receipt, tracking, and monitoring of documents through the use of standard document management programs to register documents, maintain databases, and produce logs, transmittals, and other reports as required.
