Administration Management:

Coordinate and oversee the administrative operations to ensure efficient office functioning including office environment with problem-solving and customer service management skills. Plan and coordinate administrative procedures and systems and devise ways to streamline administrative policy & procedures at every level. Coordinate with regional/field offices to ensure smooth functioning of administrative & logistics procedures are in place. Review and analyze operational requirements and practices to provide recommendations to management for the benefit of program activities implementation. Coordinate & closely work with different govt. agencies/authorities like NBR/Customs bond, Special Branch for A2 visa management for expatriates. Ensure smooth and adequate flow of information within the company to facilitate other business operations. Procurement & Supply Chain Management:

Manage all the procurement process from requisition to payment, ensuring the accurate and timely entry of data into the procurement tracker/software. Make sure that all procurement requests are processed in accordance with organizational policies and donor requirements. Initiate procurement process as per policy and proceed to prepare Comparative Statements and analyze vendor offers to ensure the best value for money. Make sure that Purchase Orders (POs) are issued aligned with requested items, validated by the correct PR numbers and budget code from the requester, and comply with all necessary documentation and approvals. Ensure and manage quarterly office supplies procurement process and timely handover to Admin for distribution to all staff/unit in accordance with office needs and schedule. Ensure all procurement & logistics support to Admin for external workshops/meetings, ensuring appropriate venues, accommodations, and logistical arrangements are made in a cost-effective manner. Complete all sort of procurement process including hiring of consultants and professionals completing with compliance of procurement guidelines, organizational policies, and statutory requirements. Coordinate with other departments in issuing work orders and provide all necessary information and documents for agreements or MOUs. Consult with other department and develop annual procurement plan for timely and accurate procurement scheduling for materials and services required for the year to align with supply chain annual work plan. Coordinate with other departments and sites to develop annual operation plan of Supply Chain Unit. Implement best practices in procurement, contributing to the development of procurement policies and procedures as needed. Make sure that procurement & supply chain team staff are responsive to any request on time and are compliant with supply chain systems. Update all procurement files manually or automated in the system and update all database accordingly. Based on the updated status, prepare statistical report & share with management. Ensure preparing monthly, quarterly and half yearly procurement status report and circulation among staffs. Conduct training on procurement process and policy across the organization. Initiate vendor enlistment process and confirm that the vendor list is updated time to time after validation of the business documents of all suppliers. Prepare the list of potential vendors and share with all regional staff. Conduct vendor enlistment process by entering and updating data, to ensuring a sufficient pool of vendors is available for all categories of goods and services. Coordinate with Admin for screening for all vendors/consultants before engagement, ensuring compliance with security and regulatory standards. Develop and maintain professional vendor relationships through effective communication effectively with suppliers and following up on pending orders and service requests. Complete the Pareto analysis to measure vendor performance by comprising timely delivery, quality compliance and addressing any issues that arise during the procurement process. Logistics & Vehicle Management:

Communicate with all departments, prepare comprehensive yearly plan of demand and develop activity plan according to the requirement. Initiate plan of action as per the requirement and set up plan to deliver materials on time to avoid interruption of program activities. Keep updated status of office supplies, initiate for renewal of service agreements, leases agreements, and other agreements. Organize and confirm yearly physical count of all office supplies and ensure proper updated record keeping. Take lead for front desk management including visitor management, mail management, utilities management and other miscellaneous administrative activities management. Coordinate all field visits and arrange all logistics supports such as transportation (ticketing or vehicle support), accommodation etc. Prepare list of lease agreements having information on lease expiration dates and ensuring renewal of lease contracts before expiry. Develop and maintain a tracking system for the hotel and flight booking and ensure all the payment are made in accordance with this tracking sheet and prepare monthly reconciliation report with all statement that would be shared with vendor/service providers. Oversee the vehicle and driver management, make sure that proper maintenance all vehicles are in place and all logbooks are updated. Ensure all vehicle documents are updated timely, initiated the registration, fitness process, comprehensive insurance. Review vehicle policy and provide all sorts of supports to requesters to ensure cost effective & efficient vehicle management for smooth operation of project activities. Human Resource Management:

Coordinate on Human Resource activities such as staff recruitment, onboarding, training & development, performance management, and separation processes in compliant with organization and donor policies/regulations. Keep record of all staff attendance, support in payroll management etc. Prepare and update all staff file properly. Consolidate all IDP’s and make sure that staff and their line managers takes initiative to take action according to the plan. In line with Supply chain team extend support for preparation and issuance of contracts for individual consultants/staff. Coordinate for staff health insurance, including enrolment, claim processing, and coordination with insurance providers. Make sure that all HR files are updated and preserved properly. Supervise support staffs

(drivers and office helper, cleaners, security guards) by monitoring performance and give regular feedback to staff members and document corrective actions; Complete the annual performance appraisal, regular mentoring and coaching.

Event Management

Coordination with other department to prepare annual event plan maintaining detailed schedules and timelines for events. Coordinate with other team members for planning and organizing logistics for different workshops, training, meetings to make all events successful with safety and security. Ensure coordination with project partners, external stakeholders, government counterparts and officials, vendor to ensure timely participation. Ensure all logistical arrangements, prerequisite paperwork for workshops, meetings, and other events in due time in coordination with program team and as per government orders. Keep records and suggestions to compile and prepare comprehensive post-event reports, meeting minutes and key decision notes. Record feedback from participants and stakeholders to improve future events. Extend support for consolidation of training materials and collaborate with the logistics and procurement teams for timely delivery of materials and supplies for events. Asset Management:

Oversee facilities management including all equipment, furnishings, and building maintenance, including repair and maintenance. Coordinates processes and documentation for new asset acquisition, disposal, replacement, and tracking of lost or stolen assets.
