TeamHealth (November 2016 to February 2025) - Tennessee
Position: IT Project Manager
As an IT Project Manager for HIE (Health Information Exchange), I am responsible for all data transmissions from thousands of hospitals and hospital systems to TeamHealth
For new contracts, I set up recurring calls with facility IT to determine how TeamHealth will receive the minimum-necessary data required for billing
oTypical Data Transfer Methods:
SFTP (Secure File Transfer Protocol): Daily, scheduled file transfers on agreed upon delays
HL7 (Health Level 7): Standard formatted data flowing in real time (no delay)
Remote Access: TeamHealth representatives always require access to the EMR (Electronic Medical Records system) to fill any gaps identified in data received via SFTP/HL7. If facilities are unable to automate SFTP/HL7, TeamHealth obtains the data manually (last resort).
oDatatypes:
Charts: Clinical documentation (physician notes, nurse notes, orders, labs, etc.)
ADT: Demographics (insurance information, patient address, employment etc.)
Census/Log: A report showing all patients that arrived to the hospital in a given day (midnight – 23:59)
I schedule similar calls when a facility has an upcoming conversion, beginning at least 6 months prior to go-live. A conversion is when a hospital/hospital system is changing their Electronic Medical Records system (e.g. from Cerner to Epic)
I receive samples of the data we need for billing and distribute to the billing teams, for billing approval, and our HIE engineers to ensure we can process the data into our billing system (OnBase). Any negative feedback must be resolved prior to go-live
Upon go-live, I work very closely with our engineers to set up processing of all three datatypes. Billing Center approval is required before we move anything to Production
After a facility is approved for Production, we update our database with all the technical information our Support Team will need to resolve the tickets they receive regarding missing data. If Support is unable to resolve an issue, it is escalated to me for assistance.
Leading project to automate all facilities that require manual intervention to retrieve the datatypes for billing (billing teams manually retrieve data via Remote Access). I have successfully automated this process for 48 facilities (60% of total) within six months
Billing team leadership contact me directly if there is an issue that is not impacting our ability to bill but is a burden to their team. This is tracked as a Process Improvement with lower urgency
All Go-Lives, Conversions, Production Issues and Process Improvements are tracked on OneNote and updates are shared across all billing teams weekly. We meet internally, with all the teams impacted, weekly to discuss these notes overall and coordinate internal calls as needed.
Royal Health Care an Independent Living Systems Company (October 2013 to July 2016) - New York
Position: Business Analyst for Encounters and Regulatory Reporting Dept. (06/14 – 07/15)
Report all Professional, Institutional, and DME encounters to SCDHHS for Advicare (SC Medicaid)
Encounters are extracted onto a CMS HIPPA Compliant 837 file for delivery to the state
Coordinate the 837 file submissions based on state requirements
Work in congruence with Royal’s Data Center, Provider Systems, Enrollment, Benefits, Informatics, and Claims Departments to remediate encounter rejections
Maintain FTP (File Transfer Protocol) by holding the connectivity with the state
Transfer regulatory, HIPPA compliant files between the plan and the state (Tracked in Excel and Shared Drive)
Draft Work Orders to the data center for necessary changes to the proprietary database, PEGASYS
Thoroughly beta test all modifications before approving the move to Production
Provide direction to software programmers in terms of data needs for SAP Reports
Create DRF (Data Request Forms) to facilitate any requests
Parse, review, and track all response files from the state
Parsing the 277CA file using a SAS Report
Quality Control – Resolve all errors in a timely manner to keep in compliance with the state’s requirements
Organize and lead meetings with SCDHHS, Advicare(client), and proper internal departments to remediate any encounter rejections
