Under the supervision of the Senior Director of Sexual and Reproductive Health Access and Equity, I provide a wide range of administrative and program support for PAI’s advocacy efforts on sexual and reproductive health rights and women’s empowerment issues. I coordinate liaising with other departments, participating on project teams. I help to plan and manage department budgets and coordinate meetings and travel logistics.
Essential Duties and Responsibilities
Prepare all grant agreement contracts and addendums for the Policy and Advocacy department. Complete vetting of grantees and submit contracts for review.
Act as liaison to grantees during grant agreement signing process. Answer inquiries about processing and update contracts if requested. Maintain grants tracker.
Act as liaison between grantees and PAI’s Finance department, ensuring grant funds are sent in a timely manner. Prepare and submit financial paperwork for Bill.com and Concur.
Lead logistics and support planning for grantee convenings. Attend convenings in person.
General administrative support for Policy and Advocacy department: attend Systems Working Group meetings, research, order catering, prepare agendas for meetings, take notes for the International Family Planning Coalition, maintain grant document database.
Arrange travel for staff and international colleagues.
Update and maintain department lists. Keep track of staff schedules.
Organize logistics for internal and external meetings and conferences, including securing catering and event space, preparing agendas and minutes and compiling materials.
