Administrative Assistant II Department of Cardiology Heart& Vascular Institute Cleveland Clinic. This position required interaction with more than 125 Staff Physicians, 60 Fellows and 700 Employees on a daily basis; acting as the main liaison and contact between the Administrator, Frank Petrovic, for operational and administrative issues and also my support to these individuals. Was hired as a Medical Desk Receptionist- now PSR- in the Cardiology Dept. working 4years with the last 3 as Supervisor— then promoted to Administrative Secretary. DAILY TASKS/RESPONSIBILITIES

Responsible for daily electronic calendar of the Administrator including scheduling and coordinating rotating meetings of all Managers and Supervisors who reported to him; Coordinated all other many meetings of special committees the administrator was the point person for;

Scheduled and secured location for the perpetual monthly Staff Physicians Dept. Meetings and sent out email reminders to calendars; Screened calls to Administrator when unavailable and responded to requests as appropriate;

Responsible for entering monthly Intervention Staff/Fellows On Call Schedule into the database and maintained updates; Ordered cell phones for Staff MDs, Initiated and prepared Check Requests for payment to vendors; Ordered equipment and other items necessary for the Dept. thru Supply Chain Mgmt; Maintained par levels of supplies and ordered as needed; Called for service on equipment when needed; Reviewed then inputted Staff expense receipts into the Travel System for the Administrator’s approval/reimbursement; Prepared Professional Staff Reimbursement Dues forms for payment; Processed Employee Tuition Reimbursement Forms and prepared Check Requests when courses were finished; Kept Employee personnel files up to date; Tracked/entered employee data into KRONOS payroll system&entered Fellows Moonlighting hours into KRONOS also; Facilitated with recruitment of prospective Staff candidates which included scheduling interviews, processing credentialing paperwork, assistance with procuring Ohio Medical License, Visa work with lawyers if necessary;

SPECIAL SKILLS: At this position I worked independently and relied on my experience and decision making to accomplish goals. A professional demeanor was needed when handling confidential material. Also investigated and helped resolve matters of significance on behalf of management by being familiar with operational procedures& policies; SPECIAL PROJECTS: Coordinated Annual Special Events for approximately 400 guests. VOLUNTEER WORK: For 15yrs I volunteered at the Cleveland Sight Center. I was proud to be a part of the “Three Day Annual Thanksgiving New and Used Fur Sale”. This event was the highlight of the year and was always their top fund raising benefit. After retirement I volunteered at the American Cancer Society for 8 yrs. I worked at their store

“The Discovery Shop” in Chardon. Our store always had the highest volume of sales in Ohio every year and we met our goal of $300,000 all of which goes to research.
