Position: Document Auditor/Document Controller in cPOS

Responsibilities:

• Set up an electronic library system for the management of technical documentations each

issuance or new revision in the Site Master List.

• Develop and maintain document control processes for the efficient management and

recording of documentations.

• Develop electronic filing and archive system and technical library for easy to issuance,

Storage, retrieval and management of documents to Client.

• Supervisor for documents that must be controlled and kept for audit/internal

requirements.

• Maintain proper organization and storage of documents and information.

• Provide full admin support to the team.

• Distribution matrix which indicate the different disciplines and the kind of drawing to

whom it has to be distribute.

• Receives all incoming documents. Determines filing category and makes input to the

automated document/drawing control databases.

• Records all dispatched documents in the document/drawing control systems.

• Retrieves documents and maintains the automated distribution log.

• Expedites review, signature approval, and release of Contractor, Supplier and Site

produced project documents.

• Maintains files and computerized indexes for all documents. Generates

electronic/hardcopy reports as needed by the project or management.

• Prepares transmittals for Construction and Engineering documents and requisitions.

• Performs other administrative responsibilities associated with the project as may be

appropriate.

• Reception of the documentation on site, Verify the document title included in transmittal

against hard copy or soft copy when received by email or other management system.

Archive all Hard and Soft copies to upload the Site Communication documents to Company portal

as per each discipline Letters/Transmittal Site Engineering Instruction, Site Technical Query, Site

Transmittals, Field Revision Drawings, Advance Copy issued at Site.

Specifically:

• Assists in the resolution of data conflicts and ensures latest revision

Documentation is used for all activities.

• Assists in expediting check sheet sign off.

• Reports on any pending system hold points and advises on potential conflicts

with project execution plan.

• Works closely with the Client to report on the management, execution

and completion.

• Ensure population and quality of computerized data management system with data

collection and documentation maintenance for handover to Company. Provides status

reporting to management with same tool.

• Ensure all information is filed properly and available is required.

• Responsible for making many copies from the original documents in different size and

distributing inside the office and submitting to the client.

• After approval from the client, submitting the copies for their record and distribution to the

subcontractor for information and action.

• Using Plotter for making Print and Copies of drawings in different size like A0, A1, A2 etc.
