Current job responsibilities

Transport Coordinator

Supports Transport management with the day to day transport operations.

Manages and closely monitors over 600 leased vehicles.

Organizes arranges and liaises with the Third Party Logistics Suppliers (3PL) on the delivery of the newly leased vehicles, replacement vehicles, and return of leased vehicles.

Arranges and schedules any leased vehicle preventive maintenance, accident repairs, technical inspections, and vehicle registration renewals with the Third Party Logistics Suppliers (3PL).

Assists various QR business units with the procedures of leasing and/or returning a leased vehicle.

Organizes, arranges, and liaises with the Third Party Logistics Suppliers (3PL) for any cargo transport service requests from different QR business units pertaining to QR accommodations & commercial buildings relocations/shifting, disposals of building waste, manpower/labor services, furniture/appliances shifting/movements to & from different commercial & accommodation buildings.

Receives and responds to email & telephone call inquiries or requests from different QR business units relating to leased vehicles, cargo & passenger transport services, purchase orders/requests, and existing contracts with different suppliers.

Handles incoming and outgoing calls to different QR business units & Third Party Logistics Suppliers (3PL).

Coordinates with the Tower Securities in arranging temporary parking requests for visiting managers, guests, staff, and suppliers.

Prepares and generates reports such as Vehicle Replacement & Return Trackers, Assigned to Staff & Department Vehicle Lists, PO Correction List and etc.

Performs administrative tasks based on set procedures, establishment, and maintenance of filing systems.

Senior Facilities Assistant from Feb 2013 to Aug 2021

Participate in the systems development aimed at Facilities Maintenance System automation of more than 250- residential buildings.

Scheduling and preparing notice: Preventive maintenance, HVAC servicing and Hygiene check recording in the spreadsheet to implement automation in Facilities Maintenance System

Generating and Installing Asset tags or UIN (Unique Identification Number) to track and monitoring the Furniture, Appliance and Remotes inside the residential buildings.

Residential buildings Remotes - storing, logging, issuing and recording in the spreadsheet to implement automation in Facilities Maintenance System

On daily basic generating more than 200 FMS requests of building common area and apartment arrival snags

Ensuring follow ups and requests are recorded in the Facilities Management System

(FMS) which is directed to maintenance team leader and building service provider to ensure maintenance jobs are completed

Attending phone calls and taking appropriate action, make recommendations and handle complaints and requests in a professional and calm manner.

Responding to staff queries and ensure updates are provided regarding maintenance request status

Provides business documentation support, including report writing, presentation creation and spreadsheet preparation.

Preparing Duty Roster for 90 staffs in Corporate Services - Facilities department.

Refers routine matters to appropriate person for action and follows up to ensure completion.

Calculating the KPI (Key performance Indicator) of employees on a weekly basis and represent the graphical representation for the management review. About 15000 requests will be raised in FMS on a weekly basis.

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.
