● Welcome, receive and guide visitors, partners and principals in the appropriate offices and conference room.

● Answer telephone calls and follow up with the people concerned.

● Take the messages and transfer them to the return of the absent persons.

● Organize the agenda of the National Coordinator for his various meetings.

● Greet visitors, customers and suppliers; make available all the information regarding the rental

● Prepare a quote, book reservations on request for the customers for the rental via phone or mail.

● Daily update the registry folder for rental and replacement vehicles.

● Weekly update the registry folder for the leasing contracts with replacement days.

● Manage the office supplies; submit a monthly inventory report to the Administrative Manager.

● Take rental and leasing payments.

● Ensure the Interim of the Petty Cash management in the absence of the manager. -

Specific Tasks

● Answer calls and do the follow up with the concerned.

● Greet and guide visitors or partners to the departments. (Average 50-80 person per day)

● Receive, Register all external and internal correspondences for the Central Office, and dispatch them to relevant departments on a daily basis.

● Collect electricity, telephone, water bills etc., and prepare requests for disbursement for the suppliers.

● Recover checks for the suppliers to the finance department, and ensure that all payments are made on time.

● Make available all administrative forms used by the CRS and the classification files for the Administration.

● Manage the office supplies and the maintenance products, make a monthly inventory and make available the periodic report for the supervisor.

● Book the conference room and ensure the update publishing system on the billboard. Manage the Petty Cash Manager and daily update the electronic file and registry book. Prepare the fuel request form for drivers, collect them and dispatch them to the General Administrator.

● Act as the Executive Assistant at the Direction Department in her absence. - Ensure the translation of documents, texts, from English to French on request of the Supervisor.

● Submit Digicel invoices for reimbursement for personal international calls to the concerned employees. EDUCATION
