Responsible to take care of following areas of UNDP Registry and Communication Unit:
Registry Responsibilities
Preparation of registry work plans and implementation mechanism according to UNDP’s guidance, rules and regulations
Contribute for the establishment of registry business processes including e-documentation filing system registry and flow of correspondences email distributions, handling weekly international pouch service and post office.
Changing workflow of registry process according to the situations and agency requirements
Responsible to follow internal control system to ensure effective and efficient management of e-documentation and filing system.
Provide services to common registry services (e-g. mails, pouch services to other UN agencies on cost-recovery basis).
Responsible to prepare cost-recovery bills as per LPL/UPL for the registry services to other UN agencies and Programme Units/Projects
Supervise TCS messengers for internal & external mail distribution and to pick up mail from various business partners
Day to day administrative tasks of the Registry as well as assigned by the Supervisor.
Handling E-Documentation
Responsible to receive all incoming e-mails and route to the relevant person, unit or agency
Sorting-out all incoming documents, maintaining electronic copies according to the CO e-documentation system.
Maintain and update electronic registry data and files and to get it uploaded on UNDP Intranet website
Scanning all incoming faxes and letters for data keeping and electronic sharing with concerned staff
Data Management of Registry Records
Responsible to manage all incoming communication which includes letters, faxes, newspapers and magazines etc. registration of all incoming documents after proper date stamp subject/project file number and responsible person.
Distribute timely and correctly all correspondences to Unit staff and concerned UN agency and departments
Responsible to transmit faxes and dispatch mails through post office and courier services (as required) and maintain records
Handling UN pouch service including incoming and outgoing materials and ensure timely action is taken according to pre-determined timelines.
Responsible to prepare bills for cost recovery for all services provided to UN agencies
Maintaining of old records of Registry Unit in warehouse for future reference and audit purposes
Management of UN Vehicle Registration / Transfer
Responsible to Issue registration number to UN Vehicles upon submission of requests by UN Agencies
Maintain and update record of UN Vehicles through Vehicle Management database
Close follow-up and coordination with Ministry of Foreign Affairs and Federal Board of Revenue for the status of registration of Vehicles
Managing transfer of Vehicles from UN project to the concern Government agencies by coordinating with Ministry of foreign Affairs customs house and Federal board of revenue
Follow-up and clearance of old pending cases with Ministry of Foreign Affairs
Periodic update to supervisor and Deputy Country Director (Operations) on the status of vehicles
Respond to vehicle related queries to UN agencies and UN Departments
Guidance to UN Agencies to prepare documents for registration of vehicles as well as transfer of vehicles
Update UNDP management about change in rules and regulation (if any) for vehicle registration management
Issue reminder to UN agencies against vehicle cases
