POSITION: - DOCUMENT CONTROLLER - August 2010 — PRESENT Reported to the Project Manager, Construction Manager & DC Manager and responsible for the full implementation of the Document Control System approved by the Consultant (SALFO) and applicable to the NDIA-CP 66, Ashghal School Projects, Lusail Real Estate & Supreme Committee.
Responsibility and Duties (Job Involves)
To provide Document Control Services through EDRMS-Aconex to the project team and reporting information related to the status of the project documents, drawings and other documents.
Prepare transmittal of all the documents for submission through Aconex, Primavera, EDRMS (Citrix) and Project Wise (Bentley Software) for Design Submission.
Responsible for uploading and downloading of all the documents and drawings from/ to Aconex, EDRMS (Citrix) and Project Wise (Bentley Software) for Design Submission.
Distribute documents/drawings for comment /approval/construction release as per the distribution matrix for Design/Vendor documents/drawings through Aconex, Primavera & EDRMS (Citrix), and Project Wise (Bentley Software) for Design Submission.
Maintaining, update and review a comprehensive computer database, including documentation & drawings corresponding to those of Consultants, contractors & suppliers in Aconex, Primavera & EDRMS (Citrix) and Project Wise (Bentley Software) CV Page 2
for Design Submission.
To make sure that each and every documents/drawings should be available in Aconex
& Primavera, easy to access project documents from anywhere through Aconex, Primavera & EDRMS (Citrix) and Project Wise (Bentley Software) for Design Submission.
Log all incoming and outgoing documents from clients, consultants and subcontractor.
Receiving and checking all outgoing and incoming correspondence, transmittal of drawing and other documents.
Review completeness, accuracy, and authenticity of documents
Store and maintain company documents in both electronic and physical forms.
Scan, index, and organize documents as project wise.
Follow process and principles of company's document lifecycle procedures.
Archive, control, and retrieve records as and when needed.
Keep records of project details, meeting minutes, technical specifications, drawings, etc.
Classify, sort, and categorize documents in order.
Perform responsibilities of file migration and assist in auditing.

Prepare process and status reports; applies metrics to analyze and assess efficiencies of current Document Controller Processes. Document controller must also make sure that all Submitted documents are received at their intended destinations on time or before the document’s due date. He also needs to make sure that employees understand the importance of submitting their document in a timely manner and as early as possible. Before a document can be submitted, the document controller must check all the information on it for accuracy and then seek approval from her superiors. Sometimes this involves talking to department heads in other department in order to get approval for the document. Once the document is validated and approved, he/she can submit it.
Document Controller have to communicate with all of the company’s departments, making sure that the Documents they submit are correctly filed in the department’s archive as necessary.
Attends to a variety of office administrative details; establishes and maintains confidential, subject, project and specialized files; creates and maintains contract files; orders supplies; distributes informational materials and keeps reference documents up to date; oversees storage of official records; develops and maintains mailing lists.
Coordinating with all aspects of office administration and general business operation, encoding correspondence reports made by the supervisor and systematic filing/records keeping including encoding and sorting.

Responsible for the updates of Schedule of Submittal (SOS)
