Provides administrative and management support to the Chief of the Department of Radiology. Functions as the primary administrative point of contact for Resource Management Division for Retention Incentives for key personnel. I am not only the Executive Secretary to the Chief of Radiology, but I am also the Assistant Administrative Officer and C COR (Contract Officer's Representative). As a Organizational Defense Travel Administrator (ODTA) for the department I make travel arrangements for various staff members including reservations and accommodations Prepare, review, and approve travel vouchers and reports. Applies knowledge of Department Cost Center codes, accounting citations, fund sites, TDY policies and regulations, civilian training procedures, and staff taskings and deployments in order to review the appropriate forms. Organizes and maintains files and records. Serves as primary point of contact and provides oversight, continuity of services, and smooth workflow when Administrative Officer (AO) is absent or unavailable, as well as attends meetings for the AO. Familiar with civilian personnel functions to provide accurate guidance, analysis, interpretation and assistance. Prepare, monitor and maintain for personnel actions and personnel listings. Maintains and updates OER Rating Scheme and monitors flow of OERs. Reviews and updates Department Standard Operating Procedures (SOP) ensuring that SOPs support mission objectives. Manages the department's Geneva and Henry Jackson Educational Grant programs. Insures requirements for using these grants are coordinated in accordance with Proffer guidelines and policies. Possesses a broad knowledge of automated computer systems and programs. An in-depth knowledge of those used in the section such as DTS, DHMRSi, ATAAPS, APEQS, CPOL, Modern, CSU, OTA (Civilian Training), FASCLASS, USAJOBS, ACCESS (Credit Card Billing program), Wide Area Work Flow (WAWF) for processing invoices for contract employees and receiving reports, Internet connections, Microsoft Office and other related programs. Composes, modifies, revises and prepares a variety of narrative and tabular material in final form such as letters, charts, memorandum, reports, slides overheads and other visual aids for presentation. Knowledge of specialized medical terminology, grammar, spelling, capitalization, punctuation, and required formats. Researches and orders educational material for physicians and technicians in the 7 modalities of Radiology currently at Madigan Army Medical Center. Team player and positive influence in Radiology. Serves as Contact Representative (OA/PEBLO) (MEB TECH) in Medical Board Section, Patient Affairs Branch, Patient Administration Division. Provides administrative support services to Soldiers undergoing processing through the Army Disability System. This involves assisting members from the time of receipt of notification of pending Medical Evaluation Board through the various stages of processing until completion of the Clinical Evaluation process and forwarding to the PEBLO. Responsible for initial interview with MEB patients, schedules physical examinations, receives and assembles case files for review, and maintain suspense actions pertaining to case processing. Review medical board documents including narrative summary to ensure that all medical information is completed prior to presenting to PEBLO. Answers medical board questions of non-technical nature. Operates personal computer to input, store, retrieve, and manipulate data. Performs a variety of standard and non-standard clerical duties to coordinate travel arrangements, services, and medical appointments for patients and their family members from distant areas of the geographical region. Maintaining a high level of professionalism is essential when communicating with patients and hospital staff.

Works closely with contractor, departments, administrators, and/or leads to ensure patient appointing criteria is clear and appointments can be made with less confusion. Assists with the implementation and provides administrative support to ensure proper operation of the Patient Appointment Function, Master Schedule Function and Encounter Preparation Function. Ensures clinics are educated and using the system correctly. Responsible for all schedule and template management currently for 20 doctors. Ensures that all schedules are entered into CHCS in a timely manner with 0% error rate. Analyzes data in the profiles, schedules, and templates within CHCS to determine if access can be met. Assists clinical areas in maximizing the productivity of their providers, template management and efficiently and effectively schedule patient appointments by providing training, problem resolution, troubleshooting system functions and staff assistance as well as training new users. Reviews all requests for schedule cancellations for appropriateness. Ensures appropriate travel and coordination between patient and receiving clinic has been made.

Serves as the subject matter expert and primary POC for the End of Day processing, as well as with the pertinent statistical reports relating to appointing efficiency. Spools and prints End of Day Processing report to determine if clinic meets the requirement of closing pending appointments. Contacts appropriate personnel to determine why EOD was not accomplished, and provides outcomes to appropriate Administrative Officers. Plans and revises work schedules and assignments to ensure an even flow and distribution of work, the expeditious handling of priorities, that schedules and deadlines are met and to meet changes in workload. Attends routine staff meetings to interface administrative management support requirements with patient care requirements. Knowledge of administration principles, regulations, and practices along with knowledge of and skill in the application of analytical, investigative, and evaluative techniques. Proficiency in automation programs (spreadsheet & database) in order to produce accurate and detailed reports concerning patient appointment and referral coordination data and statistics for agency use. Deadlines, priorities, and projects to be accomplished are determined in consultation with the supervisor.

Independently plans and carries out duties, resolves administrative problems that arise, and coordinates the work with others as necessary.
