Administrative Assistant

As Administrative Assistant, my daily responsibilities included collection and distribution of mail and preparing deposits. I maintained a friendly and professional demeanor while being the "first face" visitors saw when they came in the door. I assisted in tours, processing admission files, processing new employee packets, month end filing, mailing out statements and letter collected and distributed resident’s accounts.

My main responsibility was answering the phones.

I was then promoted to AP/PBC, where my responsibilities included following the 3-step invoice process, which was collecting PO's, packing slips, and invoices. I would stamp invoices, code the items purchased, and sticker them so they could be scanned into the system. I worked with the ED to verify charges we were billed and also verify resident charge out items. I keyed ancillary charges for those items. I processed the Medicare RA's and sent out UB claims for the secondary payers. I also submitted paper claims to Medicaid, and would key in the facility deposit. I set up new employees and rehires in the system, as well as, employee terminations, addresses changes, wage increases, etc. I assisted in the process of the biweekly payroll.

In 2010, I was promoted to the AR2 position in the business office. My responsibilities included entering resident’s monthly ancillary charges, communicate with residents and families about their account. Assist in Medicaid approval for residents, place collection calls, contact the insurance companies to verify claims have been received and processed, and key accounting adjustments. I submitted fl2 request to the Social Worker for Medicaid applicants and communicate to caseworkers on a weekly basis for follow ups. I processed and applied Medicaid RA's.

My responsibilities included maintaining the coffee bar station, stocking the beer, soda, water coolers, and balancing receipts/cash at the end of every shift. I would help maintain the inside and outside store appearance. After two years I was promoted to assistant manager. With this new responsibility I was on call 24/7 and was responsible for invoice processing. I counted and collected all the funds taken in for the day and create the deposit to send to the bank. I filled out daily paper work to balance all credit card, coupon, cash transaction for the previous day, and also had to maintain gasoline inventory. I was responsible for staff scheduling, as well as maintaining an accurate inventory for the weekly supply order.
