WORK DESCRIPTION
Senior Secretary to Minister for Multi-Ethnic Affairs & Sugar Industry i. The position provides administrative and secretarial support for the efficient day to day management of the Minister for Multi-Ethnic Affairs & Sugar Industry (MMEASI) office. ii. Facilitates the daily updated schedule of meetings and appointments that MMEASI needs to attend. iii. Screening of all incoming calls to ensure that all visitors have an appointment and a scheduled time to meet Minister.
iv. Maintain a clean working environment for MMEASI and ensure that the office supplies in terms of stationeries and equipment are properly maintained and in stock. v. Organize meetings and appointments for Minister including preparing a daily electronic diary and providing advanced briefing to Minister on upcoming engagements on a daily basis, arranging detailed travel plans and itineraries, compile documents for travel related meetings. vi. Ensure that the preparations and documenting of travel arrangements, accommodation bookings and per diem for meetings to venues locally and overseas official duties. vii. Ensure MMEASI’s correspondence are filed properly. Act as custodian of official and confidential documents in MMEASI’s office.
viii. Liaise with Cabinet and Parliament offices in regards to cabinet and parliament papers. ix. Liaise with Ministry of Foreign Affairs Protocol Division in regards to Minister’s overseas travel.
