OWNERSHIP & ACCOUNTABILITIES

Estate and Registered Plan Administrator / Estate Administrative Officer II

● Communicates and schedules meetings with the family, including executors and/or Lawyers of

the deceased client to ensure required estate documents are completed and to address any

other concerns.

● Responsible for reviewing all required documents received based on the deceased client’s

account(s) which varies all the time.

● Verify with the Legal Representative some Estate scenarios for legal advice

● Corresponds to all queries from Lawyers, CRA or from the family.

● Pulls Credit Bureau to check credit worthiness of an executor with no Grant of Probate

● Instrumental in the completion or settlement of Estate Accounts (which includes posting

financial transactions on the system, balancing all figures, and withholding appropriate tax if

required).

● Updates several spreadsheets for accurate reporting

● Responsible for daily various reports within the department (Estate and Finance Departments)

● Creating new files, updating notes on the system; setting reminder for follow-ups on some

missing documents

● Compose and mail letters regarding the Estate Account addressed to the family, executor &/or

Lawyers

● Accomplishes accurate monthly and year end reports to CRA with regards to all registered plan

products (RSP, RIF, TFSA)

● Creates and/or amends tax slips (T-slips)

● Remits RSP and RIF withholding tax to CRA monthly

● Balances reported figures with the Finance Department’s spreadsheet

● Sends notification to clients for Dormant Accounts

● Pulls and verifies recent address of the client thru Equifax

● Post and transfer Dormant Accounts to the Unclaimed Deposit Balance/Common Shares’

internal Account (GL)

● Balances all figures with FAS and with Finance Department’s spreadsheet

● Booking clients (phone meeting, m.teams or in person) using Outlook calendar

Loans and Credit Administrator

● Prepares and ensures all loan forms are signed by the borrower/client and are legally registered

● Computes payment schedule accurately for all approved loans (mortgage, car, etc..)

● Funds (post) approved loan

● Registers Mortgage Lien thru First Canadian Title or thru the Solicitor

● Responsible on registering lien on car loans

● Checks Credit Bureau of applicants

● Timely submission of monthly, quarterly loan reports including Property Tax

● Contact clients for renewal of loans with updated signed forms

● Filing, check mails

● Other duties that may be assigned from time to time

Sr. Retail Service Officer

● Provides support to the Asst. Manager in maintaining the Branch Deposit Broker Portfolio

● Set up/opens new Personal and Business Accounts, Registered and Non-registered Products

● Responsible in renewing existing and maturing investments, as per clients’ instructions

● Administer and process CAFT (Customer Automated Fund Transfer)

● Checks all diarized items requiring posting and updates on clients’ account(s)

● Helps the front line from time to time to minimize long line up and provide faster service

● Assist in some Branch’s events like: Seniors GIC events, some fundraising for non-profit

organizations, etc..

RSP & GIC Administrator

● Process “transfers-in and transfer-out” of RSP and GIC investments between different

institutions

● Set up new RSP and GIC from the Bank’s deposit account

● Responsible for monthly and quarterly report on RSP plans

● Filing

● Check mails

● Answers phone calls and queries from all branches

● Other task that may be assigned from time to time
