Provide secretarial and administrative services to the Project team to ensure efficient flow of information and correspondence and in turn to constantly review method of work to promote further efficiencies.
Implement and handle the Project Document Control and assist in the development of document control systems including procedures specific to the Project
Maintain records/logs & scanning of Contracts, Project Specifications, Purchase Orders, incoming - outgoing correspondences, Company Instructions, Technical Queries, Monthly Reports, Minutes of Meeting and other Site Control Documents.
Retain contact lists (project, vendor, and client).
Issuing various site control documents such as Checklists, Transmittals, Material Inspection Requests, Site Work Instructions, RFI’s, Daily Construction Reports etc as per Engineer’s instructions.
Controlling the numbering, filing, sorting and retrieval of electronically stored or hard copy documentation produced by technical teams, projects or departments in a timely, accurate and efficient manner.
Communicate and coordinate with the project team members and deliver the necessary information.
Scan, copy, download/upload the Technical documents for the team review and manage the flow of Documentation within the Organization.
Maintain confidentiality around sensitive information and terms of agreement.
Upholding records of invoices and managing database of items delivered to site, on a daily basis.
Write, proofread, and prepare correspondence and the assigned tasks per Project Manager as well as the Project team requests.
Prepare agenda and collect materials for meetings and keeping minutes of meting.
