As a Security & office in charge, I was responsible for all security relative issues, performing supporting assignments at the field of liaising, administration, procurements, inventories updates, and logistics/, as well as coordinating events with NGOs, UNOs as well as Government entities below are the main tasks, I was performing as my daily routine activities:

Main duties:

A. Security:

•Investigate and follow up on security incidents where staff/ assets are involved/victim.

•Manage security assessments and risk analysis in all regions around the H.S.I. field offices, with emphasis on the main office.

•Coordinates security information collection with the sub & partner offices

•Keeping local security information trees and disseminating security flash alerts and advisories to staff when required.

•Arrange Training/briefing/orientations of the incumbent national/international following/compliance principal parts:

•Arrange periodic training on Fire Extinguishers to all HIS (Kabul and field-based staff members).

•Briefing the management team on the security trend on a monthly or on a required based.

•Arrangement regular security and safety meetings with all security-relevant personnel; drivers, and watch persons.

•Train, and resent mandatory security instructions for safe driving: road accident checkpoints (legal and illegal), etc.

•Ensure that the contracted flight agencies are paid on time and all financial issues are sorted out.

•Arrangement the updated flight schedule for international and domestic flights.

•C. Procurement tasks:

•Maintain the list of qualified service providers (skillful mechanics, reliable workshops for cars, painters, carpenters, electricians, plumbers, etc.

•Ensure maintaining servicing contracts for generators, air conditioners, etc. of office and guesthouses are effectively managed.

•Lead the procurements of goods and services as per set rules (independent and negotiated quotations, procurement panel, comparative statements, contract issuing, follow up of service provision as per the contract with a service provider, quality and quantity check of items delivered as per contract, etc.…)

•Organize custom clearance for official consignments including personal effects of international staff (incoming/outgoing of the country).

•Supervise, coordinate, and lead procurement, stock & store stuff in a professional manner.

•Ensure that; the procurement unit supports the program efficiently and compliantly.

•Enforce proper use of procurement thresholds and approval procedures.

•Oversees collection of quotations and bids from the market for PRs as per H.S.I.’s standards and formats.

•Interact with contractors, in coordination with Project Managers, Senior Finance / Admin Manager.

•Maintain the e-logbook and control fuel consumption.

•Ensure cost-efficient and effective maintenance of the vehicles.

•Manage the cook to ensure the performance of the required services with due attention to cleanliness, healthy diet, and cost efficiency in a timely manner.

•Check the settlement of advances received by the assistant officer in charge. Special attention has been paid to cost efficiency, quality, and honesty.

•Add purchased durable items to the inventory and keep a hard copy signed by staff using the purchased durable items. Conduct a yearly physical check of inventory items in the office and guesthouse and update as deemed necessary.

• Manage advance received for the visa, work permit, air transport ticket of staff, office maintenance and small equipment, water, electricity, and fuel bills.

• Maintain store register of incoming and outgoing items as per set rules and procedures.

•Liaise with office and guesthouse house owners as deemed necessary.

E. Inventory:

•Maintain recording and accountability of expendable and nonexpendable project property.

•Prepare required documentation and disposition plan of unserviceable or equipment no longer required.

•Receive newly acquired property; register the property in the authorized user on required forms.
