Duties & Responsibilities:
• Maintain and manages all important
documents and ensure that, it is accessible to
the team and stored in the specific project
folder.
• Providing all administrative / technical tasks: - Creating letters / emails, scheduling meeting,
attending calls and inquiries (incoming
/outgoing), printing, checking / issuing
receiving of project drawings for technical
team.
• Performs all document control duties from
receiving and processing of all documents,
logging, filing, typing and printing letters
including reports (monthly report/cost report
summary), memoranda and all documents
for submission).
• Responsible for the timely, efficient
preparation, processing and distribution of all
management documents in accordance with
the Project Management Document Control
Procedure.
• Store / Log all (Incoming / Outgoing)
documents and records in a centralized, web-
based portal that is accessible to the team.
• Maintain and organizes an up-to-date and
centralized filing system.
• Monitor outstanding correspondence and
submittals that need to be responded (for
Action) within the minimum required time
scale and send reminder to the actionee (PM
/ Engineers).
• Prepare and provide all the required details
and data needed for the project reports
including: Weekly / Monthly Report, MAR,
MS, RFI, IR’s & SD.
• Retrieve / generates electronic and hard
copy of the archived documents and reports
as needed and requested by the Client
and/or Project Management.
• Handle telephone calls and carry out
clerical/administrative task and duties,
including: typing, printing, book binding faxing,
scanning, filing, routing, e-mailing, archiving,
maintaining updated correspondence lists,
responding to inquiries and requisitions etc.

submission of monthly Score Card as
required by the authority (PWA).
