Administrative Support Assistant

Duties, Accomplishments and Related Skills:

Provides administrative support to Engineering staff under the direct supervision of the Chief of Engineering Branch. Receives and files correspondence, records, and reports; searches and withdraws material from files as requested. Examines documents and correspondence for completeness of information and conformance with pertinent administrative rules, regulations, and office procedures. Screens all incoming correspondence for suspense dates and maintains master suspense file for all directed tasks; establishes controls to review and update status of suspended actions and follows-up, as necessary, with the appropriate point of contact. Reviews all correspondence verifying spelling, conformance with proper format and procedural requirements and correcting typographic errors. Utilizes numerous automated systems to perform a variety of functions including word processing, calendar maintenance, financial management input (timekeeping/labor), training, purchase requests (PR&C), travel order, and travel vouchers in support of assigned office. Knowledge of and expertise with general office automation software, practices and procedures as well as computer skills are critical to job performance. Composes correspondence of a routine or repetitive nature. Prepares and coordinates a wide range of office support services for 80 plus staff, including requests/actions related to personnel matters, timekeeping, awards, leave, mail and distribution, supplies and equipment control and coordination of all official transportation and travel support. Credit card holder and ensure government regulations, guidelines, policies and procedures for purchasing are followed. Maintains reservation calendar for conference rooms. Track incoming personnel and provides district specific pre-travel requirements which must be completed before incoming personnel travel orders may be completed and published. Highly proficient with Corps of Engineers Financial Management System (CEFMS). Ensure travel order remarks accurately document pre-travel items. Ensure orders are properly approved and authorized by resource management (RM) and logistics (LM). Review completed travel orders for accuracy and notifies supervisor, RM and LM of discrepancies. Forwards copies of completed orders to employees and logistic to process travel requirements. Maintain appropriate calendar for staff officer and arrangements for time and location of meetings, including updating calendar, notifying participants, providing background material requirements and coordinating necessary audiovisual support. Receives and screens visitors and phone calls for the staff officer, ascertaining nature of the request. Personally handles a variety of matters and questions, including routine questions of a nontechnical nature, which do not inherently require direct technical knowledge.
