Manager Admin & Operations- ET Tech Limited, Bangladesh since January 2022 (Continue) Office Management including Facilities Management:
Plan and coordinate administrative procedures and systems and devise ways to streamline administrative policy & procedures at every level.
Recruit and train operations staff and allocate responsibilities and office space.
Ensure availability of office supplies by ordering stationery and IT equipment. Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints. Monitor costs and expenses to assist in budget preparation.

Initiate plan of action as per the requirement and set up plan to deliver materials on time to avoid interruption of program activities.
Contact with working sites and set service delivery plan. Contact with all vendor as per requirement for timely delivery of materials/services
Review inventory status and prepare monthly forecast. Upon approval ensure necessary action for stock replenishment.
Manage all stock inventories in such ways so that no item/material expire shelf life. No materials stay too long in stock, reconcile with all site stocks and make sure internal exchanges takes place for any emergency requirement or long time stayed materials
Ensure good relationship with all department, sites, vendors and with management

Procurement & Supply Chain Management:
Take initiative to ensure the supply chain strategy is aligned with annual work plan. Coordinate with other departments and sites to develop annual operation plan of Supply Chain Unit. Make sure that supply chain team staff are responsive to any request on time and are compliant with supply chain systems.
Confirm purchase request has been reviewed, checked and entered in the procurement status report system. Make requesting staffs are informed on the updated status of their request
Consolidate all requests from different department/sites and ensure all data in Purchase Request are filled properly with budget confirmation.
Make arrangement for bid opening, checked all documents of vendor and provide technical documents to technical team when needed. Ensure evaluation process of submitted tender completed properly.
Once PC recommendation is approved, confirmed that Purchase Order/ Contract agreement is prepared and signed.
Ensure signing of long term agreement for long time services of vendor such as delivery of office supplies, AC, Generator, Telephone lines servicing, vehicle servicing, insurance companies, fuel pump/CNG stations etc.
Follow up all orders, update status of all orders and inform requested department/unit, in-case of any delay or interruption in supply channel.
Update all procurement files manually or automated in the system and update all database accordingly. Based on the updated status, prepare statistical report & share with management. Ensure preparing monthly, quarterly and half yearly procurement status report and circulation among staffs.
Follow up the long-term agreement or service agreement and measures are taken in advance for renewal or new tender process. All necessary approval are duly taken in advance
Upon analyzing the risk of procurement/supply chain system and develop strategy plan based on the red flags and implement corrective action plans as required.
Initiate vendor enlistment process and confirm that the vendor list is updated time to time after validation of the business documents of all suppliers. Prepare the list of potential vendors and share with all regional staff.
Initiate to prepare annual budget of supply chain department. Be prepared to prepare project budget when requires during developing the new proposals
Travel & Accommodation Management:
Confirm upon receiving any request all arrangement for air/bus/train ticket, hotel accommodation arrangement has been confirmed
Make sure that logistics service request has been properly submitted by staffs and ensure all logistics services has been provided to staffs moving from Dhaka or coming to head office
Ensure vehicle arrangement has been confirm for all field movement and rental of vehicles has been confirmed
Lead and ensure signing of long term agreement with different travel agents, hotels, vehicle rental companies and services are provided as per the agreement
Assess and evaluate vendor performance for renewal of agreement or either for circulation of new tender
Coordinate with all field staff on their opinion for the services provided by the vendor and negotiation with the service providers took place to ensure win-win situation
Ensure safety & security for all staffs travelling to different districts/upazila’s
Ensure proper booking of all expenses as per budget guideline related to travel and accommodation Fleet and Asset Management:
Ensure all vehicle documents are updated timely, initiated the registration, fitness process, comprehensive insurance. Financial claim has been done (insurance claim) in-case of any accident
Review vehicle policy and provide all sorts of supports to requesters to ensure cost effective & efficient management of all vehicles for the smooth operation of project activities.
Confirm vehicle support provided to the requester on priority. Ensure fuel management system producing monthly fuel consumption report, regular vehicle maintenance program in a cost-effective manner and monitor usages of vehicle for proper charging to the respective project. Asset Management:
Confirm upon receiving any new asset, proper asset tracking system are in place, asset numbering is done and reported.
Make sure staffs are trained, and capacity developed to achieve the objective of the organization. Staffs are provided enough trainings and support as per requirement.
Make sure that asset tracking systems are in place for all asset and equipment movements and updates asset and equipment register.
Prepare list of obsolete or unused asset and items for management decision and carryout the disposal accordingly. Ensure damage/ lost asset reports are kept and necessary disposal process are carried our following policy and procedures. Management approval is taken and written off process completed and handed over the assets to the buyer as per Policy
Event Management
Coordinate with other department, prepare annual event planner and orient the team for successful program organization.
