Human Resources Assistant (UNV) UNICEF Afghanistan Nov.2019-Aug.2021 Key Duties:
Facilitating the process of contracts for consultants
Preparing the NFR for the consultants’ contract extension
Sharing the contract extension document with the consultants to be signed by them
Preparing the invoice for their payment
Timely follow up on the progress of their duty in different zones and outposts
Reviewing the final attendance reports and final report of the English classes
Preparing the evaluation report
Preparing and sharing the invoice with the consultants as well as acknowledgment for the receipt of the final payment and informing to close the PO Follow up on mandatory courses with new staff members as well as with the current ones, UNVs and Interns
Sharing a standard email with the new staff members, all the ACO UNVs and Interns to complete the online mandatory courses
Updating the tracking sheet of mandatory courses for UNVs and Interns after following up with them to complete the courses within the given deadline
Reaching out to staff members if they face any technical problem while completing the courses and if required to follow up with the relevant colleagues in AGORA Classification and distribution of long service award certificates annually including preparation of the presentation for the general staff meeting
Sorting out long service award certificates for ACO staff including zones and outposts staff as well as separated staff members
Follow up with eligible staff members to provide their photos for preparing the presentation for the long service award certificates to be presented in the general staff meeting
Arranging and distributing the certificates for each of the sections and informing them through email to hand over their certificates
Issuance of employment letters, preparing memos as well as bank letters for ACO Staff along with distribution of Cigna cards for ACO staff and submission of pension entitlement certificate to UNJSFP Focal point in compiling and addressing staff queries on various HR activities other than recruitment (like administering one HR e-mail account)
Preparing memos as well as cancellation form and sending them through the pouch to New York.
Informing staff for their UNLP collection through email
Providing the staff members certification letter for official trip as well as bank letters
Informing the staff members of receiving their Cigna cards and submitting the cards to them
Sending Cigna cards of zones and outposts staff members through pouch and informing them through email
Providing employment certificates for the current staff members as well as the separated staff members including interns and consultants
Preparing memos for pension request as well as scanning and saving them in the right folder in shared drive before sending the documents to GSSC through pouch
Receiving the pension entitlement certificates of retirees, sending them to retirees for signature as well as sending the CE’s to UNJSPF through pouch
Following up with the UNJSPF focal point for any issues like non receipt of payment or CE for the retired staff members
Updating the IP UNLP tracking sheet
Recording the contract extensions of staff in the master list tracking sheet, updating the tracking sheet of the Warden and study leave requests, tracking and recording of all individual learning and group trainings including the stretch, surge, ROSA exchange, tripartite assignments
(incoming and outgoing) and updating them in the HR tracking master list
Evaluation of individual trainings – sharing evaluation links with the SMs
Sending the MIP Claims of the retired staff members to Cigna address when required
Requested stationery for the section on monthly basis
Organizing the HR Archive, arranging the staff personnel files boxes to be moved to the archive
Managing the ECM page of the HR section as well as maintaining the electronic files and organizing HR data
Sending the certificates of the zones and outposts through pouch as well as informing them through email
