Roles & Responsibilities
•Implementing, Updating, Downloading, & Validating the Document Control Software and distributing the documents across project EDMS (ACONEX)
•Responsible for supporting in analyzing, organizing and managing document management processes and activities.
•Handle the tasks of controlling and monitoring documents and assure its compliance with the corporate methodology and procedures.
•Provide coordination and monitor all documents about the respective Project.
•Coordinate with function representatives, document controllers and other document service assistants involved in the Project for the required output.
•Responsible for preserving and maintaining confidentiality of document management activities.

•Handling the management level issues regarding document and data control, revise or reorganize document control roles and responsibilities.
•Verification and Authentication of all internal and external documents & drawings submittals to and from Client, Engineer and Engineer’s representatives for the Document Numbering, No of Copies, Attachments stated & mode of submission prior to Submission.
•Make sure all the documents prepared are complying with the approved Document Control Procedure and Numbering Procedure.
•Updating, downloading, Validating and distributing the documents across project EDMS, ACONEX. Internal distribution of documents as per the Distribution Matrix.
•Designs and develops a uniform filing system for Projects documents in accordance with the Administration Directorate’s Records classification structure. Responsible for the control of documents for each project from the Work Service Order issuance stage till the final handover made from the Consultant/ Contractors.
•Periodical auditing of Site Office Document Control systems by using the check list approved by the management for data validation, and integrity.
•Making Digital Copies of Contract Documents / Project Manuals with Search Engines facility by using Adobe Acrobat Writer. Importing and Exporting Data's, producing reports for the project requirements, Regular Data Backups and Restoring.
•Establish and maintain incoming and outgoing Contracts and Subcontracts/vendor documentation.
Keeping track on outstanding correspondence to and from the contractor, which are overdue for response and sending reminders to the related Engineers for Action.
