Provides computer support for a variety of academic administrative programs, which entails inputting, extracting, and compiling data stored in the variety of programs. Provides routine administrative functions for the branch. Manages Web based Class Coordinator Program, Guidance Office Program, Physical Record Brief used for input of add/drop requests for DPE classes, initial sectioning, grade keeping, etc. Inprocessing of readmit and turnback cadets to ensure that all requirements are met. Analyzes request for information by preparing appropriate database queries, executing queries and retrieving input. Submits system change requests as required. Assist in the preparation and development of the yearly Guidance Brief and coordinates publication and distribution of same throughout the Corps. Maintains records for textbook order and book issue. Responsible for coordinating classrooms with the Deans Office. Coordinates all Instructional Support meetings, attendance records, minutes, etc. Types a variety of correspondence. Primary purpose of position is to provide educational support to the Instructional Division, which entails managing all aspects of scheduling, assessment, Counseling, Registration, Grades, Department Operations, Administrative support, Facility management and serves as the single-source POC with ORD for all Operations and Registrar issues which is the primary functions for this position. The task requires planning, coordinating, and executing a series of complex systems with narrow constraints and time restrictions. The duties are vital, varied and complex. The major duties fall into the broad categories: Automation, Physical Program Counseling and Administration and Analysis.
Maintains Scheduling Data. The data consist of information about cadet enrollments and courses. The scheduling data must mirror the ever changing physical program for several terms into the future. Updates and manipulates the scheduling data in preparation for scheduling each term and for physical education planning into the future.
Utilizes a variety of Interactive WEB based systems to accomplish Scheduling, Sectioning, Grading and tracking cadets (Class Coordinator, Physical Record Brief and USMA Grades programs).
Monitors department course enrollments. The incumbent monitors the enrollment system and assist the department Instructors and cadets with problems.
Maintain the Grade Templates, Grade Support Services for the department including 6, 10, 15 week and Term end and end of term processing requirements (PPSC) and various awards/honors (Male/Female top physical performers/Commandants Awardees).
Maintain Course End Survey System. Assuring Instructors accessibility, monitoring the open/closing of the system by round; updating DPE/Instructional Division/Course/Instructor questions. Retrieving, compiling data into graphs for MOS briefing slides.
Maintains Blackboard system. Input of Term End Exams, assuring exams are available at time of exam and blocked when exam has concluded. Compiles and exports grades to AMS. Compiles data and provides analysis reports to Course Directors.
Serves as Course Director for the department of Physical Education. Advises department instructors and cadets concerning all aspects of the USMA Physical Program which includes; course sequencing, prerequisites, graduation requirements, performance and specific courses. Renders decisions on eligibility for enrollment in specific courses.
Maintain continuity files of the Guidance office and all Physical Program Review Board, Grad Risk and Gray book activities. Coordinate the Physical Program Review Board to include coordinating DPE assets; preparing documentation; scheduling and site management; AAR accountability for board decisions. Coordinated the Grad Risk and Gray book process to include preparing documentation; coordinating materials from Course Directors; Tracking/Incorporating end of term guidance from the MOS; briefing the MOS.
Produce December Grad and no credit reports. Manages all Physical Program deficient cadets; Supervising Guidance Officers; serves as the single source POC with USCC to track fragile cadets, separation packets/cadet actions; verify CS manager permissions; manage SAP roster; manage STAP rosters; manage CZCP/CPRP rosters.
Maintain validation processing. Each year new cadets are tested, screened and validated for Aquatic levels. Concerning the implications of validation, determines Aquatic level for cadets. Swim times are input into WEB base program for sectioning of validation level.
ADD/DROP Processing. Each term cadets are offered the opportunity to adjust there schedules via add/drop transactions. Counsels cadets seeking to add/drop courses and ensures that changes to their physical program are not only in accordance with established USMA Physical program directives, but also meet the individual desires and capabilities of the cadet.
Performs Term-to-Term balancing-enrollment accumulated through the enrollment system result in enrollment imbalances between terms. Enrollments must be brought into tolerable balance to match limited teaching resources within each Physical program course. The incumbent manages the term-to-term balancing process by coordinating enrollment changes with the department and then manipulating cadet enrollments within specific academic program constraints.
Manage Underload/Overload Program management. Incumbent identifies cadets that are either over or under the prescribed coarse load, notifies the cadets of required actions, and monitors corrective actions.
Physical Individual Advanced Development (PIAD) program course scheduling. Each cadet is encouraged to enrich through the PIAD program. Incumbent manages the administration and monitoring of PIAD enrollments ensuring that final grades are input and posted.
Summer Term Academic Program (STAP). Manages administration for the STAP Physical program to track and schedule cadets that have failed a course or want to remediate a course which they received a grade of D (for grade replacement) or who have not taken a required course.
Provides information and reports upon request. Overall management and implementation of the USMA Physical program requires intricate coordination among all interested individuals, academic departments, and organizations involved. The decision-making processes that take place rely heavily on information provided by the scheduling office. As a primary operator of the Scheduling data, incumbent provides information. Plans work to be accomplished by subordinates, establishes priorities and assigns and reviews work of the unit.
Academic Scheduling. Runs the scheduling programs that manipulate the Physical program scheduling system information maintained in the database to assign hours against each individual enrollment. Incumbent analyzes results and corrects system problems, unscheduled cadets, and coordinates required changes within the department. . Performs internal personnel administration, and management tasks keeping employees informed of policies, procedures and goals of management as they relate to the unit. Identifies and analyzes problem areas considering alternative solutions, and selects the most appropriate course of action.
