Duties & Responsibilities
Ensure that all the relevant Project documentation is registered/maintained in the electronic Document Management System (EDMS)
Maintaining document control registers/documents for incoming and outgoing project documents.
Preparing Transmittals of Tender Drawings, IFC Drawings, Design Drawing, Shop Drawing, Red Line Drawings & As-built Drawings.
Preparing and Sending Draft Letters,
Preparing and Submitting Engineering Queries/Technical Queries/Material Submittals to the Client/Main Contractor according to project requirements.
Maintain electronic registers for Letters, MOM, Memos, NCRs, RFIs, Submittals, IRs, MIRs, ITPs, WMSs, and Letters, Track the transmittals
special skills in final approved handing over documents to clients like Snag List, Testing Commission, etc.
Keep filing the most recent version of the stick set of contract documents.
Distribute to all contractors, addendums, and bulletins as they come in.
Issue drawings and documents with proper transmittal and registers.

Maintain current drawing sets for engineers and architects and ensure superseded drawings are identified and filed.
Date stamp the received material, and log the material in the pertinent log (software program, log book, etc.) so that the project will always have a record of when the material was first received and distributed to all parties.
Receive log, and distribute all contractor/vendor submittals that require approval.
Maintain and manage project filing of all contract documents.

Supervision of documents such as letters, and submittals, within the company and the client/contractor or consultant via the DMS (Document Management System)
Electronic Archiving of Project Documents Uploading and sending notifications for all concerned.
Following up and tracking and monitoring documents on the Project Management to register documents databases, and produce logs and other reports as required.
Receiving inquiries from contractors and coordinating with clients.
Furthermore, responsible for carrying out & disposing of any other office management related task assigned by the Project Manager & Director.
