Senior Administrative Assistant reports to the Head Central Case Operations within Global Pharmacovigilance (GPV-Risk Management). Responsible for performing administrative coordination and other daily operational tasks to support the Whippany-based GPV Single Case Handling (SCH) department which included 60 employees/contractors. Responsible as the key administrative department representative and interface between Whippany-based GPV SCH group and other GPV groups.
Tasks
Performs general administrative duties such as arranging meetings, interviews, teleconferences, updating organizational charts, ordering office supplies, maintaining email distribution lists, maintaining calendars, and using Microsoft applications. Generates reports, tables, graphs and correspondence using own discretion to format and display data.
Coordinates travel arrangements, primarily international, (e.g. air, ground transportation, hotel) and manages itineraries.
Processes expense reports using the CONCUR expense reporting system for department managers in a timely manner.
Provides administrative support of daily and reoccurring, onsite and off-site, training sessions/workshops and other meetings as needed (e.g. rooms reservations, meeting invitations, agendas, catering needs, draft minutes).
Provides administrative support for global guests (e.g. Head SCH) including visitor announcements, ground transportation, hotel arrangements, meeting room reservations, etc.
Performs all administrative functions needed for on-boarding and off-boarding of new hires including contractors (e.g. updating of GPV Contact Directory).
Provides administrative support as needed for compliance related activities (e.g. support of internal/external audits, support of health authority inspections, prepares training binders, scheduling training sessions).
Monitors costs while performing all applicable administrative tasks (e.g. ordering office supplies, travel arrangements, catering) and verifies appropriateness of charged costs (e.g. monthly phone lists).
