My duties include:

Induction:

Preparation of HR Presentation and presenting thereof

Consolidation of Company induction

Booking Venue, Refreshments, and staff’s diaries

Agenda

Employee Wellness

Wellness Support programme

Wellness day – 1 December each year

Administer HIV & AIDS programme (Annual Themes)

Co-coordinating HIV & AIDS Events

Manage Peer Educators network meetings

Oversee Peer Educators Responsibilities

Payroll – ERS reconciliations

Reboot clocking machines

Import hours

Update hours where there is incorrect direction on ERS

Follow up on leave forms or get proof for missing clockings from Vera

Load the Missing clocking if there is proof

Check balances on VIP and capture leave accordingly on VIP

Load leave on ERS

Download clocking activity report

Download T&A report

Reconcile 8 &9, fix if there are still errors

Check annual leave forms approved

Filter Mon - Thurs Friday for both day shift and nightshift and ensure that all the zero hours are fixed

Filter all leave qualifying shifts, insert a column, and allocate a shift

Filter all non-qualifying leave qualifying shifts, insert a column, and ensure it is zero

Filter all hours that have less than 4.075 Mon -Thurs and delete the shift

Filter all hours that have less than 3.5 on Friday and delete the shift

Filter all weekend overtime hours and ensure that if there is overtime, there should be transport, if no transport, insert a column and ensure it is 1

Sum the totals for shifts and transport, on the row total that shows 14 days

Filter by date and choose 14 days, copy and paste in a separate sheet update VIP

Preparation of new employee’s files to be signed off

Internal Recruitment process using Job profile, advert must run 5 working days including weekend

External Recruitment Process using summary advert template must run for 14 days including weekend. The process must start same time as internal recruitment process

Place Ads on PNet and company website

Send summary advert to employment agencies (Preferred suppliers) Action

Prepare questions for the position, include Declaration of relations

Search Database for candidates currently on the market

Shortlisting by completing the spreadsheet and forward same together with CV's and questions to Manager

Manager to shortlist, 1 days’ notice of interview date, excluding date when candidate is informed and date of interview

Co-ordinate and attend interviews

Reference and background checks (Qualification, ID, Criminal, credit, employment references, fraud, etc.)

Calculation of packages to offer and approval
