Switchboard and reception:
• Answer and handle both external and internal calls professionally
• Receive visitors to the office courteously and attend to their requirements.
• Ensure a particularly clean reception area, and the office in general at all times.
• Receive and record incoming courier or hand-delivered parcels/documents and distribute to relevant staff timeously.
• Report telephone or any other IT faults in the office to the Manager timeously.
• Arrange for timely posting or courier of parcels and documents from the office as required.
Diary Management:
• Manage the diary of the Director/Manager to ensure coordination of activities.
• Make travel and accommodation bookings for the
directors/managers and staff as requested.
Secretarial support:
• Type correspondence and documents for managers/directors as delegated and ensure that correspondence is mailed promptly.
• Assist directors in preparing agenda and documentation for external and internal meetings.
• Record all internal meeting proceedings and ensure that resolutions taken are followed up and implemented.
• Support the directors in preparing regular, as well as ad-hoc analysis and reports.
• Provide any required secretarial support to project managers at a project level if the workload warrants.
Administrative Support –
• Assist directors/managers in coordinating and reconciling expenditure in the office.
• Check and ensure that office stationery is replenished on time.
• Ensure proper filing and archiving of admin/project documents in line with the filing system.
• Support staff to ensure that they adhere to project filing protocols.
• Check for available tenders in both print and electronic media and inform the responsible director/manager.
• Liaise with the responsible director/manager and complete/fill-in purchased bid documents and prepare all supporting documents
• required for submission.
• Prepare weekly status reports and follow up with staff on action items as required
