• Schedule surgeries for four different providers.

• Schedule surgeries in clinic in the patient’s room or via phone.

• Book case using case request through epic sending them to the OR schedulers.

• Give the parents written instructions regarding surgery and NPO instructions and estimated surgery times. If appointment is made over the phone, mail out all info regarding the upcoming surgery.

• Work with the Child Life Specialist’s in case parent’s and child would like a tour prior to surgery.

• Inform any vendors of any upcoming surgery dates and time that the physicians will need they services.

• Prepare the providers and the PA’s call schedules for the ED call schedule and also do the call tracker for the providers on call pay.

• Front office specialist, able to check patients in confirm demographics, verify insurance, schedule appointments, confirm appointments.

• Responsible for scheduling all patient consults, follow ups, and any other appointments needed for the patient for five different providers. Including MRI’s, sleep study’s, and any other appointments needed in the facility.

• In charge of checking in and out overnight sleep study equipment.

• Coordinating provider meetings with their clinic schedule.

• Prepare the doctors schedule for the week and confirm all records have arrived. Confirm referral is in place if needed.

• Arrive each patient for their appointment, obtain and verify all patient demographics, clinical and financial information including their insurance information and taking co-pays, also handing out paperwork if it applies.

• Check out all patient’s making follow up appointments, scheduling procedures and collecting cosmetic payments.

• Maintaining all schedules for all laser treatments and booking appropriate procedure rooms for laser specialist and aestheticians. In charge of ordering all clinical supplies and office products for the department, including all skin products.

• Check all appointments in Epic for RTE at least 7 days out. Confirming patient’s insurance is active.

• Responsible for incoming and outgoing referrals. Entering all new referrals into the system.

• Schedule peer to peers for prior authorization for the providers, also schedule any depositions and book conference room.

• Answer all calls by the 3rd ring and direct them to the appropriate person or take a detailed message. Answering an average of 70 to 80 calls per day, while checking in over 70 patients.

• Perform other clinical duties such as faxing, printing faxes and making copies, plus working appropriate work queues. Assist the medical assistant in any tasks or duties that she may need help in completing.
