JOB RESPONSIBILITIES
EXECUTIVE ASSISTANT RESPONSIBILITIES
Work closely with the executive(s) working as their business partner anticipating their business needs, providing time management and strategic business planning.
Act as a gatekeeper and point person for executives’
Prepare meeting presentations, redline, and edit documents on behalf of executives in preparation meetings.
Maximize efficiency for c-level executives, while juggling multiple deliverables with competing deadlines.
Liaise and schedule meetings between the executive team and cross- functional partners, stakeholders, strategic business partners, board members and others.
Provide support and execution of strategic initiatives. Responsible for deliverable management.
Prioritizing meeting requests and drafting emails on their behalf, etc. on a daily basis
Heavy calendaring for multiple executives in various time zones including international and providing calendar management
Email vetting for executives, compose and prepare correspondences
Ability to prioritize and handle multiple assignments at any given time all while maintaining commitment to deadlines
Handle complex and detailed travel coordination for both domestic and international travel and providing detailed itineraries (flights, hotels, meeting locations, restaurants, etc.). Compile travel documents and meeting materials in preparation for business trip.
Responsible for meeting minutes in all executive, company, and board meetings.
Exceptional verbal, written and interpersonal communication skills.
Responsible for managing admins and their overall performance through a mentorship program.
Expense reports, CC reconciliation, department budgets, chargebacks, refunds, AR/AP, and other financial responsibilities
Provide support to various teams as needed (i.e. Customer Success, Sales, Operations, Marketing, Engineering, etc.)
PROJECT MANAGEMENT & REPORTING
Oversee special projects and strategic initiatives and ensuring time sensitive issues are handled with urgency and deadlines are met.
Prepare daily, weekly, monthly and quarterly reports with detailed information and update database/CRM
Prepare and track inventory and forecasting reports
Create and manage various spreadsheets tracking sales, inventory, KPI’s, etc.
